About The Position

Must have Dental Office experience We are seeking an experienced Lead Insurance Treatment Coordinator to own and oversee the financial and insurance coordination process for complex dental cases within a fast-paced, high-end, multi-specialty practice. This role is critical to ensuring that patients clearly understand their insurance benefits, financial responsibilities, and treatment timelines, while protecting the practice’s revenue integrity and maintaining a premium patient experience. This position requires a deep understanding of dental insurance, CDT codes, predeterminations, and multi-phase treatment planning. You will serve as the primary bridge between clinical recommendations, insurance carriers, and patient financial conversations. Doctors and leadership rely on this role for accuracy, consistency, and follow-through, especially when managing high-dollar, staged, or specialty-driven cases. The Lead Insurance Treatment Coordinator must be able to confidently present complex treatment plans , submit and track pre-authorizations and predeterminations, verify benefits in detail, and explain coverage limitations in clear, patient-friendly language. You are expected to proactively identify financial barriers, offer appropriate payment solutions, and drive treatment acceptance, without compromising transparency or trust. This role also requires airtight documentation , precise posting of procedures, and close collaboration with billing, front desk, and clinical teams to ensure financial alignment from case presentation through treatment completion. Excellence in communication, organization, and follow-up is non-negotiable, as this role directly impacts patient satisfaction, case completion, and overall practice performance. This is not an entry-level insurance role . The ideal candidate has operated in a high-volume dental environment, understands the pace and expectations of luxury private practice, and takes full ownership of patient financial coordination while delivering a true five-star experience. Requirements

  • 5+ years of progressive experience in dental treatment planning, insurance verification, and patient financial coordination within a high-volume dental practice.
  • Advanced proficiency with Dentrix , insurance carrier portals, and digital patient record systems, with a strong ability to manage complex financial workflows accurately.
  • Thorough working knowledge of CDT codes, PPO benefit structures, exclusions, limitations, and dental terminology , including how coverage applies across multi-phase treatment plans.
  • Exceptional communication, critical thinking, and problem-solving skills , with the ability to lead clear, confident financial conversations and resolve challenges proactively.
  • Highly detail-oriented, organized, and deadline-driven , with a proven ability to manage multiple active cases without sacrificing accuracy or follow-through.
  • Prior experience working in a multi-specialty, concierge, or luxury private practice environment where patient expectations and operational standards are high.
  • Demonstrated experience supporting complex cosmetic, surgical, implant, or full-mouth reconstruction cases , including staged treatment and long-term case tracking.
  • Familiarity with flexible payment solutions and third-party financing platforms , and the ability to present payment options in alignment with practice policies and patient needs.
  • High school diploma or equivalent (required)
  • Minimum of 2 years of front office experience, preferably in a dental setting and dental software
  • Proficiency in Microsoft Office Suite
  • Experience working with various dental insurance plans, couples with strong communication skills.

Responsibilities

  • Maintain strict compliance with HIPAA regulations and all state and federal privacy laws, ensuring the protection of patient health information (PHI) across all financial, clinical, and digital records.
  • Safeguard sensitive patient and insurance documentation by following established protocols for secure data handling, electronic communication, and record retention.
  • Exercise discretion and professionalism in all patient interactions, financial discussions, and internal communications involving confidential information.
  • Confidently present comprehensive treatment plans with clarity, empathy, and transparency , ensuring patients fully understand their insurance benefits, coverage limitations, and financial responsibility.
  • Translate complex insurance details, CDT codes, and benefit structures into clear, patient-friendly explanations that support informed decision-making and trust.
  • Submit, track, and manage pre-authorizations and predeterminations accurately and in a timely manner, proactively following up with carriers to avoid delays in care.
  • Establish clear financial expectations upfront , including copays, deductibles, estimates, and payment arrangements, while maintaining consistency with practice policies.
  • Drive treatment progression by monitoring active cases , following up on unscheduled or delayed treatment, tracking remaining benefits, and re-engaging patients to move care forward.
  • Ensure accurate posting of procedures in Dentrix based on completed treatment, with proper coding and benefit application to support clean claims and revenue integrity.
  • Maintain meticulous financial documentation , including detailed patient notes, estimates, authorizations, and supporting backup documentation within the patient record.
  • Collaborate closely with the scheduling and billing teams to maintain alignment between treatment planning, case sequencing, insurance submission, and revenue flow.
  • Communicate with external billing partners or insurance carriers as needed to resolve inquiries, discrepancies, and claim-related issues efficiently.
  • Deliver a calm, professional, and confident patient experience during all financial conversations, reinforcing the value of recommended treatment, not just the cost while maintaining confidentiality and a five-star standard of service.
