Requirements

  • 2+ years in orthodontics (TC experience is a plus)
  • Strong understanding of orthodontic treatment types
  • Confidence in discussing treatment fees
  • Excellent verbal skills
  • Organized and detail-oriented
  • Experience with orthodontic software (experience with iTero, Ortho2 Edge, and Solventum is a plus)

Responsibilities

  • Model outstanding patient service, written, verbal, and other communication skills
  • Team focused with willingness to answer phones, schedule appointments, make payments, and provide excellent customer service for all patients.
  • Take new patient phone calls
  • Follow up on new patients and referrals that have not been scheduled
  • Conduct new patient consultations alongside the doctor
  • Build rapport and establish trust with patients and parents
  • Explain diagnosis and treatment options clearly and confidently
  • Answer clinical and financial questions accurately
  • Address objections with empathy and professionalism
  • Present fees, payment plans, insurance estimates, and financing options
  • Ensure financial agreements are signed and properly documented
  • Track and follow up on pending treatment based on the practice’s preferences
  • Schedule all pending recall appointments
  • Follow up on Recall appointments that have not been scheduled
  • Conduct Recall Ready appointments alongside the doctor with all notes mentioned in the New Patient Experience Section
  • Participate in growth strategy meetings
  • Identify barriers to acceptance and suggest improvements
  • Monitor and report: Case acceptance rate, Go-Ahead Rate, Average Down Payment, Obs Return Rate, Pending treatment follow-up success
  • Coordinate with other practices for new patients who need care outside of our office
  • Participate in a marketing committee and take an active role in referral doctor marketing
  • Back up Scheduling Coordinators if needed.
  • Shared insurance verification duties
