The Travel Director oversees all hotel, airfare, and ground logistics for DWP’s touring and festival operations. This role is responsible for building company-wide travel infrastructure, negotiating vendor partnerships, managing room blocks and contracts, and ensuring seamless, cost-effective travel experiences for staff, talent, and vendors. The ideal candidate is proactive, highly organized, and skilled in both guest service and operational efficiency.

Nice To Haves

  • 5+ years of experience in travel management, hotel contracting, tour/festival logistics, or related roles.
  • Strong negotiation skills with a proven track record in securing hotel or travel-related agreements.
  • Experience working in live events, festivals, or touring environments is preferred.
  • Excellent organizational and data-management skills; experience with travel platforms or booking tools is a plus.
  • Ability to work independently, manage competing deadlines, and provide rapid support during event periods.
  • Exceptional communication skills and a hospitality-minded approach.

Responsibilities

  • Negotiate preferred hotel rates, staff room blocks, and multi-year agreements for all DWP festivals and corporate travel.
  • Secure optimal inventory and amenities for staff, talent, and vendors, ensuring consistency across markets and seasons.
  • Manage hotel contracts, cutoff dates, attrition terms, amendments, and ongoing rate audits.
  • Oversee hotel bookings for all festival staff, including accurate rooming lists, on-site changes, and 24/7 support during event weeks.
  • Partner with Festival Producers and Operations to forecast room needs, adjust allocations, and improve check-in/out flow.
  • Collaborate with Business Development to maintain relationships with CVBs, city partners, and hotel sales teams to secure availability during peak periods.
  • Develop and maintain relationships with airline, rental car, and transportation partners to secure preferred pricing, contract terms, and perks.
  • Evaluate and negotiate corporate travel programs that support both festival operations and year-round travel needs.
  • Track usage trends and contract performance to leverage volume-based incentives.
  • Implement systems or tools that streamline booking, reporting, and approval workflows.
  • Manage all hotel and travel-related invoices, payouts, post-event audits, and reconciliations.
  • Partner closely with Finance to ensure accuracy in budgeting, POs, and departmental allocations.
  • Serve as the primary liaison with Jampack for hotel bundle packages, ensuring accurate inventory, pricing, and marketing integration.
  • Coordinate cross-departmentally to align package offerings with festival timelines, fan needs, and on-sale strategy.
  • Review performance data and collaborate on improvements that drive revenue and guest satisfaction.
  • Develop and maintain internal travel policies, SOPs, and guidelines to ensure consistency and cost control.
