About The Position

ThreatLocker® is seeking a detail-oriented Travel Coordinator to manage all corporate travel arrangements for employees and clients. This role is responsible for booking domestic and international travel, developing detailed itineraries, managing travel expenses, and ensuring compliance with company policies. The Travel Coordinator serves as the central point of contact for travel planning and provides support during time-sensitive disruptions. This position includes after-hours and overnight on-call responsibilities during assigned on-call rotation periods to support urgent travel disruptions. The role will be based in Orlando, FL and is an in-office position.

Requirements

  • Minimum 1 year of experience coordinating corporate or executive travel.
  • Proven experience booking domestic and international business travel.
  • Familiarity with travel regulations, visas, and travel documentation.
  • Negotiation and vendor management skills.
  • Experience managing travel budgets and tracking expenses.
  • Experience handling urgent travel disruptions and rebooking under pressure.
  • Proficiency with travel booking systems (e.g., Concur, Egencia, Navan, Amex GBT, or similar).
  • Strong Excel or reporting skills.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills.
  • Willingness to participate in a 24/7 on-call rotation.
  • Ability to work fully in-office in Orlando, FL.

Responsibilities

  • Travel Arrangement: Coordinate all aspects of business travel, including flights, accommodations, ground transportation, and other related logistics.
  • Itinerary Planning: Create detailed travel itineraries for employees and clients, including schedules, reservations, and any special requests.
  • Expense Management: Track and manage travel expenses, ensuring they align with company budgets and policies.
  • Vendor Relations: Build and maintain relationships with travel service providers (airlines, hotels, car rental agencies) to secure favorable rates and negotiate contracts.
  • Travel Policy Compliance: Ensure all travel arrangements comply with the company's travel policies and guidelines.
  • Visa and Documentation: Assist in obtaining necessary visas, passports, and other travel-related documentation for international travel.
  • Emergency Assistance: Be available to provide assistance and support to travelers in case of travel disruptions or emergencies.
  • Travel Reporting: Generate reports on travel expenses, travel patterns, and other relevant data for management review.
  • Travel Technology: Proficiently use travel booking systems and online tools to streamline travel planning and management.
  • Quality Control: Ensure travel plans run smoothly by verifying reservations and addressing any issues that may arise.
  • Travel Education: Educate employees on the company's travel policies and provide guidance on travel best practices.
