About The Position

Tokio Marine HCC, a global leader in specialty insurance, is seeking a Travel Agent II to support employees across the U.S. and Europe with domestic and international travel coordination. This role is ideal for someone who thrives in a team-oriented environment, enjoys problem-solving, and delivers high-touch customer service while operating within corporate travel guidelines. Position Summary Join a collaborative Travel & Event Management team and play a key role in ensuring seamless travel experiences for Tokio Marine HCC employees. Under supervision, the Travel Agent II supports a wide range of travel-related activities, including reservations, documentation, reconciliation, and compliance with corporate travel policies. This position requires strong organizational skills, attention to detail, and the ability to manage multiple non-routine requests efficiently.

Requirements

  • Minimum: High School Diploma or GED
  • At least 2 years of relevant and progressive experience in travel coordination
  • Experience using the Amadeus Travel System.
  • Strong written and verbal communication skills with confidentiality, tact, and diplomacy.
  • Solid organizational and analytical skills.
  • Intermediate proficiency in Microsoft Office (Excel, Access, PowerPoint, Word).
  • This is a cash-sensitive position requiring background and credit checks.
  • Overtime may be required.
  • Ability to remain stationary for extended periods.
  • Ability to move up to 10 pounds.
  • Must be able to operate a computer and office devices.
  • Occasional travel (up to 10%).
  • Valid passport and driver’s license required.

Responsibilities

  • Coordinate all aspects of domestic and international travel for U.S. and Europe-based Tokio Marine HCC employees.
  • Schedule hotel, flight, and ground transportation accommodations.
  • Procure required travel documentation, including passports, visas, and other necessary clearances.
  • Coordinate all arrangements related to the Company aircraft.
  • Manage travel reservation changes, including ticket exchanges, voids, and refunds.
  • Oversee the filing, collection, and distribution of transfer receipts.
  • Ensure travel arrangements align with company travel budget constraints.
  • Reconcile departmental statements and invoices on a monthly basis.
  • Ensure adherence to the Corporate Travel Policy at all times.
