About The Position

The Travel/Administrative Specialist will provide essential travel, transportation, and administrative support to the U.S. Agency for International Development (USAID) Bureau for Management. This role involves assisting agency travelers with international travel arrangements, passport and visa requirements, and ensuring compliance with federal travel regulations. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment.

Requirements

  • High school diploma or GED equivalent.
  • Minimum 2+ years of relevant experience in travel or administrative roles.
  • Experience with Microsoft Office and Google Suite.
  • Experience with travel-related systems.
  • Experience working in a team environment.
  • Must possess a valid driver's license.
  • US citizenship and ability to obtain a Secret Clearance.

Nice To Haves

  • Knowledge of federal travel rules and regulations.
  • Demonstrated experience interpreting requirements for obtaining passports and visas.
  • Ability to quality control various travel-related documents.

Responsibilities

  • Provide support and assist with the USAID travel program for international travelers.
  • Monitor the Travel and Transportation inbox and direct inquiries to appropriate personnel.
  • Triage incoming requests and interface with stakeholders to resolve concerns.
  • Serve as a subject matter expert for the USAID passport and visa program.
  • Work with foreign embassies to meet visa requirements.
  • Facilitate passport and visa requirements for employees before travel.
  • Ensure accuracy of passport and visa applications before submission.
  • Confirm appointments and take passport/visa photos.
  • Manage a database to track visa and passport information.
  • Prepare documents for actions in the E2 travel system.
  • Deliver and retrieve visa and passport applications and log them into a tracking system.
  • Serve as the primary point of contact for the Travel and Transportation division help desk.
  • Maintain electronic and hard copy files in compliance with standards.
  • Provide administrative support duties such as scanning, copying, and filing.
