About The Position

To empower our senior participants to age at home with dignity through personalized, comprehensive care plans that deliver high-quality health and human services along with strong community support. The Transportation Supervisor oversees daily operations to ensure timely, safe, and efficient service delivery for participants. This role manages routing, monitors vehicle maintenance, ensures compliance with all applicable transportation and healthcare regulations, and evaluates staff performance through mid-year and annual reviews. The position supports a culture of excellence, participant-centered service, and operational improvement by recommending disciplinary actions when appropriate, initiating innovative practices, and working closely with leadership to meet departmental goals.

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access).
  • Knowledge of general office procedures and transportation software systems.
  • Strong written and verbal communication skills.
  • Ability to learn and apply organizational policies, procedures, goals, and services quickly.
  • High level of attention to detail and accuracy.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Familiarity with GPS/telematics systems and reporting tools (e.g., Geotab)
  • Ability to access all areas of the center during the workday.
  • Ability to lift 35 lbs. occasionally, 15 lbs. frequently, and 7 lbs. constantly; assistance required when lifting over 50 lbs.
  • Requires constant hand grasping and finger dexterity; frequent sitting, standing, walking, and repetitive motion; occasional bending, squatting, reaching overhead.
  • Must be able to communicate clearly in English, both verbally and in writing.
  • Work is primarily performed in an indoor, climate-controlled environment
  • Minimum of two (2) years of demonstrated successful experience supervising a multi-disciplinary, non-exempt team.
  • Minimum of one (1) year of experience working with a frail, elderly, or vulnerable population
  • High School Diploma or GED required
  • Valid California Driver’s License required.
  • Must be medically cleared for communicable diseases and have current immunizations before engaging in direct participant contact

Responsibilities

  • In partnership with the transportation manager, oversees vehicle maintenance and coordinates completion of necessary repairs in collaboration with fleet vendors.
  • Submits vehicle-related purchase requests to the Transportation Manager for approval.
  • Ensures compliance with federal, state, and local transportation regulations, including Federal Motor Carrier Safety Administration (FMCSA), Department of Transportation (DOT), and Department of Motor Vehicle Employer Pull Notice (EPN) Program requirements.
  • Monitors safety and staff adherence to laws, regulations, and internal procedures; provides department training for new team members and ongoing development for current staff.
  • Supports staff by providing guidance and clarification on daily operational functions.
  • Assists the transportation manager with meaningful input and preparation of staff evaluations including mid-year and annual reviews as assigned.
  • Keeps the transportation manager apprised of successes, concerns, and provides regular updates on the status of the transportation department’s operations.
  • Maintains proficiency in department-specific software and telematics systems, including RouteGenie, the Electronic Health Records (EHR), and Geotab.
  • Maintaining confidentially of Participant information following practices outlined in the Health Insurance Portability and Accountability Act (HIPAA).
  • Analyzes route and schedule efficiency, identifying areas for performance improvement and cost optimization.
  • Tracks key performance indicators (KPIs) including on-time performance, participant satisfaction, vehicle utilization, and cost per trip.
  • Manages timecards, attendance, and schedules for assigned staff; assists with timecard corrections and monitors and approves time-off requests in coordination with the transportation manager
  • Participates in the investigation of transportation incidents or accidents and assists with root cause analysis and corrective actions.
  • Assists with the development of disciplinary documentation, and facilitating coaching discussions as needed. Supervises transportation staff, ensuring high standards of professionalism, service, and accountability.
  • Provides input and recommendations on policy and procedure updates to improve departmental efficiency.
  • Collaborates with the Transportation Manager and/or Director of Transportation to establish performance benchmarks and improve workflows, risk management, and participant experience.
  • Identifies department needs and ensures the availability of necessary supplies and equipment.
  • Prepares and submits reports, correspondence, memos, and forms as requested by department leadership.
  • Ensures exceptional customer service by responding promptly to participant concerns or complaints.
  • Demonstrates cultural competency and sensitivity in working with a diverse participant population.
  • Demonstrates an understanding of and applies knowledge regarding patient confidentiality (HIPAA) to protect both participant and organizational data.
  • May be assigned to temporarily supervise transportation for another department or location as needed.
  • Travels to other Innovative Integrated Health (IIH) locations for coverage, training, or supervision oversight.
  • Actively participates in staff meetings, training, committees, and special projects as assigned.
  • Adheres to center policies regarding attendance, breaks, and professional conduct.
  • Flexibility required to work shifts that may include weekends or extended hours.
  • Must be onsite; remote work is not permitted.
  • May be required to use a personal vehicle for business purposes. If so, valid California Driver’s License, current proof of insurance, and vehicle registration are required.
