We are currently seeking a Transportation Dispatcher & Scheduler to help oversee and coordinate daily transportation operations. Job Summary: The Transportation Dispatcher & Scheduler is responsible for coordinating and overseeing the daily operations of the Transportation Department. This role ensures timely, efficient, and compassionate transportation services for residents and staff by managing schedules, dispatching drivers, supporting administrative needs, coordinating vehicle maintenance, and ensuring regulatory compliance. The Dispatcher & Scheduler plays a key role in delivering exceptional service while maintaining resident safety, dignity, and satisfaction.

Requirements

  • High school graduate
  • Minimum of two (2) years of office, dispatch, or scheduling experience
  • Valid California Driver’s License with a clean driving record (no traffic violations in the past two years)
  • Ability to provide a DMV driving record at time of application
  • Ability to read, write, and speak English fluently
  • Strong communication, organizational, and multitasking skills
  • Comfortable using computers, dispatch systems, and evolving technology
  • Ability to obtain First Aid and CPR certification within 90 days of hire

Nice To Haves

  • Previous experience in a senior living or healthcare environment preferred

Responsibilities

  • Receive and input transportation requests from residents and staff
  • Prepare and manage daily transportation schedules, assigning drivers and vehicles equitably
  • Dispatch drivers for resident appointments, activities, and outings
  • Adjust schedules to meet changing operational needs and ensure driver productivity
  • Communicate with residents regarding transportation updates or issues and provide alternative solutions when needed
  • Coordinate transportation needs with the Activities Department for events and outings
  • Ensure residents requiring escorts receive proper support
  • Maintain respectful, compassionate, and professional communication at all times
  • Coordinate routine and preventive maintenance of transportation fleet
  • Ensure compliance with California Highway Patrol and DOT regulations
  • Monitor vehicle locations and speeds using tracking software
  • Maintain accurate records for vehicle insurance, registration, inspections, and maintenance
  • Perform clerical and administrative tasks, including correspondence, calendars, invoices, and reports
  • Maintain department forms, supplies, and dispatch system records
  • Assist with resident billing and incident report tracking
  • Recommend service and process improvements in collaboration with leadership
  • Uphold resident rights, privacy, and confidentiality
  • Maintain a professional appearance and positive work environment
  • Perform other relevant duties as assigned
