Mozaic (A Chapter of the ARC) is hiring for a Transportation / Administrative Assistant We are currently looking for a highly organized Administrative Assistant that is a detail-oriented person to join our Transportation team! The ideal candidate has excellent interpersonal skills, enjoys administrative tasks, has a positive attitude, likes people and provides superior customer service PRIMARY DUTIES AND RESPONSIBILITIES: You'll support the daily operations of the Transportation Department by entering trip data, maintaining transportation software, and keeping organized records such as vehicle insurance, inspections, DVIRs, maintenance reports, and trip sheets. The role includes coordinating hub vehicle scheduling, managing spare keys and E‑Z Passes, and assisting with route updates and training. You'll help prepare monthly billing, departmental requisitions, and required NYS DOT and STOA reports, including quarterly presentations. Collaboration is central-you'll work closely with the Director of Transportation and Transportation Coordinators, participate in weekly check‑ins and staff meetings, and take on additional tasks as needed. Ongoing training, certification upkeep, and adherence to agency policies ensure you stay aligned with department standards and goals.

Requirements

  • High School Diploma
  • 3 years in office and dispatch setting required
  • Must be proficient in Microsoft Office
  • Dispatch experience preferred
  • Must have a valid and clean NYS Driver's License
