About The Position

The role will serve as a key contact and liaison with clients, Hilton Worldwide Sales, on-property Ops team and internal HGV departments. The Specialist will ensure thorough and timely service to both internal and external constituents. Exceptional customer service, professional written and verbal communication, highly detailed follow-though, and ensures accuracy of all communications & responsibilities are complete upon required deadlines to maximize successful Rental Sales operations.

Requirements

  • Proficient with: Excel, Outlook, Word, PowerPoint, Math.
  • Fast & Accurate Reading.
  • Professional phone etiquette, excellent guest service skills, attention to detail and a positive attitude.
  • Excellent communication skills, both written and verbal in addition the ability & willingness to understand and follow both oral and written directions.

Responsibilities

  • Responsible for assisting with Transient sales efforts as assigned
  • Responsible for assisting with Wholesale groups and RFP process of assigned region/properties
  • Tracking receipt and status of all RFPs
  • Working with Revenue Management to test, audit & ensure SRP functionality
  • Facilitating related communications to other departments, clients and Hilton Worldwide Sales as requested by Manager
  • Related reporting of actualized revenues by account
  • Assist in rebranding and implementation of new property builds for the brand
  • Managing and proper handling of all team & property InnCode email accounts & related activity
  • Monitoring group lead activity, status and related reporting
  • Administration & maintenance of the Sales systems, including Salesforce/FDC, Meeting Broker, Cvent
  • Working with Marketing team to maintain & update property brochures, flyers, group-related marketing listings, etc.
  • Auditing & updating HGV property content in Hilton Worldwide Sales resource library & Wholesale partners
  • Weekly & monthly reporting for Rental Sales activity, business metrics, lead activity, etc.
  • Assisting with group coordination tasks if/as requested
  • Running various weekly & monthly Sales reports
  • Maintaining accurate records in sales systems.
  • Ongoing, customized communications with customers
  • Assists in building and maintaining business relationships with guests, clients, & business partners
  • Identify, analyze, and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
  • Ensure all channels of internal communication/documentation with various department including Reservation, Revenue Management, Inventory Management, Business Operations and Resort Management/Operations are accurate and complete.
  • Act as a liaison between; yield management, guests, department managers, to ensure the execution of business requirements adhere to company policies in a timely manner.
  • Demonstrate efficient time management self-awareness & discipline.
  • Self-initiative to prioritize many tasks, resort needs, and guest needs accurately - with flexibility to quickly reprioritize, while completing impending deadlines and/or established timeframes.
  • Participate in occasional sales calls &/or property tours.
  • Demonstrate strong organizational skills in a fast-paced environment, while working independently on various projects & forms of communication that occur, weekly, monthly, quarterly while creating successful results, with minimal supervision.
  • Assist with additional regions, tasks, departments, etc. on occasion, when requested.
