About The Position

We are seeking a highly organized and detail-driven Virtual Real Estate Transaction Coordinator to manage the full lifecycle of residential real estate transactions from contract to close. This role serves as the operational backbone of our acquisitions and dispositions process, ensuring timelines are met, communication is seamless, documentation is accurate, and every transaction closes smoothly. This is a full-time, remote position requiring on-camera availability throughout the workday for meetings, live coordination, and internal communication. The ideal candidate thrives in a fast-paced, high-volume environment, takes full ownership of their work, and consistently operates with urgency, accuracy, and professionalism. Location Disclaimer: Preference is given to candidates based in Morristown, NJ; however, remote candidates are welcome provided they can work Eastern Standard Time (EST) hours.

Requirements

  • 4+ years of experience in real estate transaction coordination, title, or a related real estate operations role (preferred)
  • Strong organizational, time-management, and project-management skills
  • Proven ability to work with urgency while maintaining exceptional accuracy and attention to detail
  • Excellent written and verbal communication skills with sellers, buyers, attorneys, agents, and vendors
  • Proficiency with CRM systems, transaction management platforms, and digital documentation tools
  • Comfortable navigating title issues, municipal requirements, and compliance documentation
  • Ability to work independently in a remote environment while remaining highly responsive and engaged on camera

Responsibilities

  • Manage 30+ active real estate transactions simultaneously with precision and efficiency
  • Serve as the primary point of contact for sellers, buyers, attorneys, title companies, agents, inspectors, and vendors
  • Coordinate all transaction milestones from executed contract through closing and post-closing follow-up
  • Maintain accurate, organized, and audit-ready transaction files, documentation, and communication logs
  • Schedule inspections, walkthroughs, closings, and vendor services while coordinating property access
  • Manage all title, attorney, and compliance-related communication and documentation across multiple states
  • Proactively identify potential delays or issues and resolve them before they impact closing timelines
  • Prepare and verify closing documentation, utilities transfers, and final transaction requirements
  • Provide consistent status updates to internal teams and external stakeholders
  • Represent Rise Home Buyers with professionalism, clarity, empathy, and accountability
