THE FORUM is recruiting for a hospitality focused Transaction Coordinator to join our team! The Transaction Coordinator is a key member of the Real Estate Services team, responsible for ensuring operational excellence, regulatory compliance, and exceptional service throughout the residential resale process. This role manages real estate transactions from listing through close of escrow while coordinating admissions qualification requirements unique to a Life Plan Community environment. The Transaction Coordinator serves as a strategic liaison among Sales, Accounting, Escrow, Title, prospective residents, and community leadership to ensure transactions are executed accurately, efficiently, and in full compliance with California real estate regulations and LCS operational standards. This position requires a certified Transaction Coordinator with a minimum of three years of experience supporting high-volume transactions in a California real estate brokerage environment.

Requirements

  • Minimum 3+ years of experience as a certified Transaction Coordinator in a high-volume California real estate office.
  • Demonstrated expertise in CAR and/or PRDS contracts and California disclosure requirements.
  • Proven ability to manage multiple concurrent transactions with strong deadline discipline.
  • Proficiency in transaction management systems, DocuSign, CRM platforms, and Microsoft Office.
  • Strong organizational skills, analytical attention to detail, and process orientation.
  • High level of professionalism, discretion, and customer service excellence.

Nice To Haves

  • Experience in senior living, Life Plan Community, or regulated environments preferred.

Responsibilities

  • Manage all phases of residential resale transactions from listing through close of escrow.
  • Prepare and coordinate CAR/PRDS contracts, addenda, and statutory disclosures.
  • Monitor contingency timelines, contractual deadlines, and escrow milestones to ensure on-time performance.
  • Facilitate document execution through approved electronic platforms and in-person signing.
  • Maintain audit-ready files in accordance with brokerage policy, LCS standards, and regulatory requirements.
  • Provide timely transaction reporting and status updates for Sales leadership.
  • Ensure full compliance with California real estate law and internal policies.
  • Assemble and verify complete disclosure packages prior to contingency removal.
  • Maintain version control of all contract forms and documentation.
  • Conduct pre-closing file audits to mitigate compliance risk.
  • Uphold confidentiality standards for financial and medical documentation.
  • Coordinate submission of financial qualification documentation to accounting.
  • Organize applicant files for Admission Committee review.
  • Track underwriting status, recertifications, and required documentation.
  • Ensure accuracy, completeness, and confidentiality of all applicant records.
  • Serve as the primary transaction liaison between Sales, Accounting, Escrow, Title, and prospective residents.
  • Support listing documentation, offer tracking, and contract distribution.
  • Coordinate closing documentation for internal accounting review and post-closing records management.
  • Contribute to continuous process improvement and operational efficiency initiatives.
