About The Position

As the Trademark Paralegal, you will report to Senior Director Global Trademarks and work onsite in our Summit, NJ location. You will provide comprehensive intellectual property (IP) and administrative support to IP attorneys and the global IP team. You will ensure effective management of trademark portfolios, supports IP prosecution and maintenance, and liaises with internal and external stakeholders to protect and enforce our IP rights.

Requirements

  • 3+ years of specialized education in IP/legal practice management or equivalent (e.g., Bachelor's degree in legal practice management, paralegal IP certificate).
  • Minimum 5 years' experience managing an IP portfolio/docket for one or more IP attorneys.
  • In-depth knowledge of national, regional, and international trademark laws and regulations.
  • Experience operating IP management systems and paying renewal fees via third-party providers.
  • Strong computer literacy (O365, spreadsheets, IP databases/registers).

Responsibilities

  • Manage and maintain trademark records in IP management systems (e.g., IP Folio).
  • Monitor deadlines, generate action lists, and ensure timely filings and renewals.
  • Prepare and file documents with national, regional, and international IP authorities (e.g., EUIPO, WIPO, USPTO).
  • Organize transfer of ownership, assignments, and recordables, including notarization and legalization.
  • Support the management of IP renewals with third-party providers.
  • Receive and process IP correspondence, ensuring accurate and up-to-date records.
  • Support IP attorneys with workflow, including litigation and opposition dockets.
  • Help gather evidence for IP disputes and document discovery.
  • Prepare and review legal agreements (assignments, powers of attorney, licensing requests).
  • Conduct searches in patent/trademark databases (e.g. Corsearch) and registers to monitor third-party IP and identify potential conflicts.
  • Prepare regular reports and support enforcement actions as needed.
  • Contribute to the development and implementation of best practices and SOPs for IP management.
  • Provide training and guidance to junior team members and support continuous improvement initiatives.
  • Ensure compliance with relevant laws and regulations (national trademark laws in main jurisdictions).
  • Monitor deadlines related to employee inventions and prepare related correspondence.
