About The Position

Join the Team at Apex Atlantic South – New Jersey’s Leading Home Services Network! Apex Atlantic South is seeking a highly organized and detail-driven Contracts Manager to lead our Contracts team. This leader will oversee the team responsible for processing all paperwork related to HVAC, plumbing, and electrical installations across our four New Jersey businesses. If you excel at managing processes, ensuring compliance, and keeping high-volume operations running smoothly, we want to hear from you. This position is based out of the Danley 911 office in Monroe, NJ and supports all Apex Atlantic South operations in New Jersey.

Requirements

  • Experience in a coordination, permitting, operations, or administrative management role, preferably in home services or construction
  • Strong understanding of permitting processes, inspections, or compliance workflows
  • Excellent communication and organizational skills
  • Ability to manage a fast-paced, deadline-driven environment
  • Experience leading teams and improving operational processes
  • Proficiency in Microsoft Office, CRM systems, and workflow or scheduling software

Responsibilities

  • Lead and Develop the Contracts Team
  • Manage the team that processes install-related paperwork
  • Establish and refine workflows, quality standards, and productivity expectations
  • Train team members on permit, inspection, and documentation requirements
  • Oversee Permit & Inspection Processes
  • Ensure all permits are submitted accurately and on time
  • Coordinate and track inspection scheduling across multiple municipalities
  • Maintain compliance with local, state, and manufacturer regulations
  • Manage Installation Documentation
  • Oversee the processing and accuracy of all installation paperwork
  • Ensure job files are complete, compliant, and stored properly
  • Implement controls to prevent delays, errors, and rework
  • Warranty Registration & Compliance
  • Ensure equipment is registered with manufacturers for customer warranties
  • Verify accuracy of model numbers, serial numbers, and install details
  • Cross-Functional Coordination
  • Partner with install managers, dispatchers, and customer service teams
  • Communicate with municipal offices, inspectors, and vendors
  • Support field teams with documentation and compliance needs
  • Continuous Improvement
  • Monitor metrics and identify opportunities for process improvement
  • Implement best practices to increase efficiency and reduce cycle times
