The Tower Coordinator will provide full meeting and event support across both the Herald Square and JACX (Long Island City) corporate offices. This dual-site coordinator must be able to travel between both locations as needed to support operations, meetings, and events.

Requirements

  • Event & Meeting Operations: Ability to support end-to-end meeting and event execution, including room readiness, supplies, materials, and day-of coordination to ensure a seamless experience.
  • Organization & Time Management: Strong ability to plan, prioritize, and execute multiple setup and support tasks on tight timelines.
  • Communication & Collaboration: Clear, professional communication and interpersonal skills to coordinate with internal teams, vendors, and leadership.
  • Customer-Service Mindset: Professional, helpful approach focused on creating a positive experience for meeting hosts, attendees, and stakeholders.
  • Adaptability & Multitasking: Ability to shift priorities quickly, stay organized in a fast-paced environment, and respond to last-minute changes and urgent requests.
  • Attention to Detail & Quality: Strong focus on accuracy and consistency in room setup, materials placement, and space readiness.
  • Candidates with a High School diploma or equivalent are encouraged to apply.
  • This position requires heavy lifting, constant moving, remaining in a stationary position, and reaching with arms and hands. Involves remaining in a stationary position for at least two consecutive hours, lifting at least 30 lbs. stooping, kneeling, crouching, and climbing ladders. May involve reaching above eye level. Requires close vision, color vision, depth perception, and focus adjustment.
  • Able to work a flexible schedule, including outside of standard working hours, based on department and company needs.
  • Able to travel between Herald Square and JACX, Long Island City offices as needed.

Responsibilities

  • Provide full meeting and event support across the Herald Square and JACX (Long Island City) corporate offices, traveling between both locations as needed to support operations, meetings, and events.
  • Ensure meeting rooms are set up with required supplies, agendas, and materials before each session.
  • Deliver rolling racks, display grids, and other equipment to support meeting and event setup in both buildings.
  • Oversee event logistics, including room setup, equipment needs, and internal team requests at both locations.
  • Maintain the cleanliness, readiness, and organization of conference rooms and event spaces.
  • Support meeting and event operations to ensure efficient, seamless execution.
  • Demonstrate the ability to multitask effectively and shift priorities quickly in a fast-paced, constantly changing environment.
  • Adapt to evolving needs and respond promptly to last-minute changes and urgent requests.
  • Assist with receiving, sorting, and distributing mail and packages.
  • Support sample intake, organization, movement, and tracking as needed.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.
