The Total Rewards Administrator will support the day-to-day operations of our benefits, compensation, and performance programs. This role ensures accurate and timely response to employee outreach, data accuracy, and compliance with relevant regulations. The Administrator plays a critical role in maintaining systems and processing transactions to help the Total Rewards Team support the organization.

Responsibilities

  • Monitor the Benefits email inbox, respond appropriately, or delegate tasks to team members as needed.
  • Support the administration of leave requests and accommodations, particularly those under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), and applicable state and local leave laws.
  • Review initial notices of the need for leave while collaborating with the Employee Relations Manager, supervisors, and HRBPs to determine appropriate next steps.
  • Communicate with employees regarding their need for leave, ensuring they understand their rights, responsibilities, and any documentation or notice required to qualify.
  • Maintain reasonable communication with employees on leave to support a smooth and timely return to work, in collaboration with our third-party leave administrator.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with compliant documentation practices.
  • Assist with advising managers and employees on the interaction of leave laws with paid time off, workers' compensation, and disability benefits.
  • Audit weekly reports of leave records for accuracy.
  • Preserve the confidentiality of employee medical documentation and files.
  • Maintain up-to-date knowledge of all applicable leave and accommodation laws, including FMLA, ADA, and state and local regulations.
  • Reconcile timesheets with leave management reports prior to biweekly payroll.
  • Support key Total Rewards processes, including job description updates, FLSA tracking, annual performance evaluations, goal setting, and the Merit/AIP cycle.
  • Audit compensation and benefits data in Wurk; identify and correct Payfactors data errors and fallouts.
  • Reconcile benefits invoices monthly or as needed, and maintain a billing summary log.
  • Process and file Medical Support Orders.
  • Manually update COBRA subsidies as necessary.
  • Approve requests for 401(k) eligibility.
  • Assist with completing benefits forms, such as Disability, EOI, etc.
  • Support the annual open enrollment process.
  • Document SOPs and maintain up-to-date process documentation.
  • Serve as a backup mail distributor and sorter at our King of Prussia office.
  • Perform additional duties as assigned.

Requirements

  • Minimum 2 years of experience in a benefits-related role, preferably in an organization of similar size.
  • General knowledge of HR processes and workflows.
  • Bachelor's degree in Human Resources, Business, Finance, Information Systems, or a related field preferred.
  • Coursework or concentration in Compensation, Benefits Administration, or HR Information Systems is a plus.
  • Certifications such as Certified Benefits Professional (CBP), Certified Compensation Professional (CCP), or PHR/SHRM-CP are a plus.
  • Excellent communication skills - verbal, written, and listening.
  • Strong attention to detail and data accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Analytical mindset with strong problem-solving skills.
  • Understanding of basic benefits plans, including medical, dental, vision, STD, life insurance, and 401(k).
  • Familiarity with leave of absence policies and related processes.
  • Proficiency in Microsoft Excel (e.g., formulas, pivot tables) - required.
  • Experience with HRIS or ATS platforms (e.g., Wurk, Lever) - preferred.
  • Familiarity with Power BI and/or Smartsheet - preferred.
  • Exposure to automation tools such as Power Automate or Zapier - preferred.
  • Proficiency in Microsoft Office Suite (Teams, Outlook, Word) - required.
