About The Position

The Tooling & Parts Specialist is responsible for ensuring field teams and customers receive the right parts and calibrated tools on time, in full, and with clear communication. This role manages day-to-day parts order execution and owns the tooling lifecycle from calibration through return inspection. The ideal candidate will bring strong organizational skills, attention to detail, and a customer-first mindset to support operational excellence.

Requirements

  • 3+ years of experience in parts operations, tooling management, supply chain, or logistics
  • Proficiency in ERP systems
  • Strong organizational skills, attention to detail, and follow-through in a fast-paced environment
  • Clear and professional communication skills with a customer-first mindset

Nice To Haves

  • Familiarity with asset/CMMS or tooling-tracking systems
  • Understanding of calibration concepts, documentation, and traceability
  • Experience in industrial equipment, rotating machinery, or aftermarket service

Responsibilities

  • Processing customer parts orders in ERP systems, validating pricing, part numbers, and terms
  • Confirming stock and alternates, aligning lead times, and mitigating backorders
  • Submitting purchase order requests and tracking them through approval to receipt
  • Maintaining master tooling inventory including ownership, location, status, and calibration due dates
  • Sending tools for calibration and tracking certificates and compliance records
  • Ordering new or replacement tools based on utilization, condition, and calibration outcomes
  • Dispatching tooling kits to field teams with pick/ship documentation and handling notes
  • Receiving and inspecting returned tools for functionality, damage, or missing items, and quarantining or repairing as needed
  • Keeping storage areas 5S/audit-ready with full traceability
  • Partnering with shipping and receiving teams to dispatch parts and tooling on schedule
  • Tracking freight, confirming delivery, and escalating issues proactively
  • Coordinating with suppliers and calibration labs on timelines and expediting when necessary
  • Resolving purchase order and invoice discrepancies, and ensuring receipts and certificates are properly recorded
  • Aligning with forecasting teams on stock planning and with field/service teams on tooling needs
  • Providing clear order and tooling status updates to PMs and FSEs, and supporting lead-time reduction initiatives
