About The Position

The purpose of this position is to investigate the status of property titles in preparation for real estate transactions, prepare transaction documentation including contracts and deeds under attorney supervision, and facilitate closings. This position requires good analytical and problem-solving ability and the ability to anticipate problems before they come up.

Requirements

  • High school diploma or equivalent
  • Two years' experience (5 years preferred) in title searching or abstracting and in-depth knowledge of real estate closing practices.
  • Eligibility for a commission as a notary public.
  • Detail-oriented and well organized with the ability to simultaneously handle multiple files in various stages of completion.
  • Computer and Internet searching skills are vital for researching public records, word processing and spreadsheet programs.
  • Employment is contingent on successfully passing a full criminal background check.

Responsibilities

  • Independently researches and examines real estate records for properties to be acquired or for other purposes to determine ownership vesting, identify applicable liens and other encumbrances, and prepare title reports.
  • Exercises judgment on the manner and extent of research needed to complete reports, with attorney guidance available for ambiguous records.
  • Communicates with property owners, mortgage companies, and other parties to acquire documentation and signatures necessary for closings. Coordinates recording of deeds and disbursement of funds to the property owner and lien holders.
  • Assists attorneys and paralegals on condemnation, other litigation, and general administrative tasks as assigned.
  • Preserves confidential information as required by a legal relationship and environment.
  • Participates in on-going training, attends seminars, conferences and workshops.
  • Maintains knowledge of current title laws and practices.
  • Serve as notary for department as well as other County employees when necessary.
  • Performs other duties as assigned.
