About The Position

Time Collection Specialists in the WVU Shared Service Center (SSC) provide guidance and support to WVU employees and other customers relating to keying of payroll funding lines, payroll lines adjustments, payroll edit functions and time card review and support. This role is responsible for assisting WVU central units, such as Division of Finance, to maintain consistency and supporting policies and procedures created by these central units. This position is remote, but the first two weeks will be required to be in-person for training in Morgantown, WV. Requirements

  • Associate or bachelor's degree in business, secretarial or technical training related to the position
  • A minimum of one (1) year of the following experience with a bachelor's OR a minimum of three (3) years of experience with associate degree:
  • Must be able to communicate well and work with a variety of constituencies
  • Strong computer experience including Microsoft office
  • Must be proficient in Windows-based applications and have strong internet skills
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

Responsibilities

  • Advise and provide payroll support for WVU colleges, schools and units
  • Collaborate with and supports the Payroll Unit in the Division of Finance
  • Collaborate with members of the Work Force Administration area of SSC after an employee is onboarded to confirm set up and resolve any outstanding questions
  • Oversee and correct timecard submissions in MyTime for all academic and non-academic departments
  • Follow up with supervisors when time cards are incorrect or not entered
  • Review timecards to ensure the proper number of hours have not been exceeded (students, part-time, etc.)
  • Set up or changes labor distribution lines
  • Review use of leave and confirms that it is accurate, and work with Work Force Administration and units in Talent and Culture to work through leave challenges
  • Review of other time reported (CTO, OT, etc.)
  • Key labor distribution adjustments into MAP
  • Create fringe adjustments in accordance with LDAs completed
  • Ensure pay amounts are correct prior to processing time on the bi-weekly schedule
  • Provide guidance in using systems
  • Resolve problems when customers need support with financial transactions
  • Collaborate with other team members and the manager to maintain up to date procedures for the unit as technology and other work continues to change
  • Maintain an understanding on use of the knowledgebase and how to obtain answers from it
  • Maintain an understanding of the Board of Governors rules and other departmental WVU policies
  • Other administrative duties as assigned, including supporting other activities within the Financial Management area of the SSC
