About The Position

POSITION OVERVIEW The Occupational Therapy (OT) Coordinator is responsible for managing administrative and scheduling functions that support occupational therapy services and surgical patient workflows. This role ensures patients are scheduled appropriately; documentation is processed accurately, and communication between providers, therapy staff, and patients is maintained to support continuity of care.

Requirements

  • High school Diploma, or equivalent
  • Must have strong multi-tasking skills with friendly, caring, and customer service focused patient interaction.

Nice To Haves

  • Medical terminology and knowledge of insurance plans is strongly preferred.

Responsibilities

  • Review and type surgery scripts to ensure all patients are scheduled appropriately for providers.
  • Confirm and coordinate piggyback appointments daily.
  • Provide phone reminders for new patient (NP) and post-operative (post-op) appointments when patients are not seeing the physician prior to their OT appointment.
  • Assist surgery schedulers and medical assistants in identifying and scheduling last-minute appointment openings.
  • Call patients from the referral output queue to schedule therapy services.
  • Contact patients who have missed appointments (no-shows) on a daily basis.
  • Update patient charts daily
  • Scan and upload all documentation into the EMR system.
  • Email DME documentation to CCOE as required.
  • Verify eligibility and benefits and transcribe into charts.
  • Maintain and update the No-Show/Cancellation (N/S-CX) log.
  • Ensure accurate communication between physicians, therapy staff, and administrative teams.
  • Maintain HIPPAA compliance with patient privacy regulations.
  • Support clinic operations by assisting with scheduling adjustments and workflow needs as they arise.
  • Duties include greeting patients’ check-in/check-out, scheduling, verifying benefits, collecting co-payments, faxing, filling, chart prep, etc.
  • Serve patients by greeting and assisting them upon arrival, scheduling appointments, and maintaining accurate records and accounts.
