About The Position

The TH Staff Assistant II at Stony Brook Medicine provides essential administrative and executive support within the Centralized Throughput Office. Requirements

  • Associate's degree.
  • At least 2 years of relevant experience in an administrative capacity.
  • Proficiency in Microsoft Office Suite.
  • Ability to work independently with excellent time management and communication skills.
  • Experience in focusing on details, accuracy, multi-tasking, and follow-through.
  • Ability to effectively interact and communicate with all Department Heads/Supervisors on a house-wide basis.

Nice To Haves

  • Bachelor's degree.
  • Computer skills including Peoplesoft, Kronos, Cerner.
  • Past experience in a hospital or healthcare setting.
  • Knowledge and experience in performance improvement methodologies.

Responsibilities

  • Maintains a courteous and helpful approach when dealing with visitors and staff.
  • Demonstrates a high degree of understanding of others even during stressful situations; resolves conflicts and problem solves with empathy.
  • Processes incoming and outgoing communications effectively and timely.
  • Develops and maintains office and filing systems for easy access to necessary information.
  • Keeps information for budget preparation, programmatic reporting, and financial analysis accurate and readily available.
  • Processes purchase requests, travel reimbursements, journal and budget transfers, and work requests in a timely manner.
  • Records and types meeting minutes and distributes them as requested by the Associate Director and Nurse Manager(s).
  • Coordinates administrative support functions for the 24-hour daily operation of assigned units.
  • Organizes systems to establish defined standards for non-nursing functions in patient care areas and monitors adherence to these standards.
  • Conducts environmental rounds, assesses environmental problems, resolves issues, and follows up.
  • Assures compliance with hospital environmental policies and standards as well as regulatory and accrediting agency standards.
  • Serves as Volunteer Program Coordinator for assigned areas.
  • Ensures timely completion of schedules, timesheets, audits, and data entry.
  • Performs all other duties as assigned.
