About The Position

The PCS Coordinator is responsible for managing the daily functional communications and documentation requirements of the Assisted Living Community personnel records, ensuring confidentiality of all resident and personnel records. This role involves various administrative tasks, including handling referrals, maintaining records, overseeing front office operations, and managing personal funds for residents.

Requirements

  • Must have 8 years of driving experience with a clear driving record.
  • Must possess a High School Diploma or GED; prefer some college and/or clerical experience.
  • Must be able to read, write, understand, and follow directions.
  • Must possess good written and verbal communication skills.
  • Must possess good computer skills and be able to work with Microsoft Office, including development of Excel spreadsheets.
  • Must possess good financial understanding of Accounts Receivables/Payables and balancing checkbooks.
  • Must possess good Human Resource understanding.
  • Must possess proven Customer Service skills and experience.
  • Must have a clear SBI and DMV record and maintain them during employment.
  • Must not have substantiated findings on the NC Health Care Personnel Registry.
  • Must possess knowledge of or be willing to learn the NC DHSR Adult Care Home Rules and Regulations.
  • Must possess or be willing to obtain NC Adult Care Home Medication Aide Certification within 90 days of hire.
  • Must be CPR certified or obtain certification within 90 days of hire.

Responsibilities

  • Submit new referral to Liberty DMA 3051 Physician Authorization on the day of admission and ensure form completion.
  • Submit Change of status to Liberty DMA 3051 immediately upon request of RCC and ensure form completion.
  • Maintain PCS Spreadsheet and PCS Notebooks/Filing.
  • Submit appeal requests upon request of RCC.
  • Complete PASRR for new admissions and private pays converting to Medicaid.
  • Update census to FileZilla daily.
  • Submit bills to the VSC payables Representative.
  • Sort mail and ensure it is given to the appropriate person according to permissions.
  • Act as the primary contact for VSC HR Representative regarding job postings and applicant interviews.
  • Request and obtain necessary documentation from applicants, including social security and driver's license.
  • Schedule new hire orientation and maintain training and medical files in an organized manner.
  • Track required training and ensure timely completion by employees.
  • Provide necessary information to the Business Office Manager for replicon.
  • Send employee information to appropriate VSC Representative for vehicle insurance as requested by Administrator.
  • Oversee front office operations, including answering phones and directing calls, relaying messages, and maintaining office supplies.
  • Maintain copiers, faxes, and phones, reporting repairs as needed.
  • Manage residents' personal funds, including deposits and withdrawals, and balance resident ledger sheets at each transaction.
  • Reconcile cash on hand ledger sheet weekly with BOM.
  • Submit purchase orders to appropriate VSC Representative as requested by Administrator.
  • Submit generations orders after approval of Administrator.
