Gándara Mental Health Center is Hiring a Receptionist to join our talented and dedicated Team. This position will be focused on greeting providers and clients, assisting with operational goals, and providing excellent customer service.
Open and close the office: assuring the security measures of the office.
Ensuring that the waiting area is cleaned and kept up, including the kitchen.
Reception and Coverage: Answering the phones, explaining agency services, taking referrals, and connecting calls accordingly.
Assisting with the updates of the In/Out Board as requested by staff and supervisors.
Directing referrals to appropriate Intake Coordinators to ensure timely access to care.
Checking insurance eligibility and e-mailing/ notifying the supervisor and staff who work with the family of any insurance that is coming up as non-eligible, or there was a switch of any kind.
Verifying and sorting fax and mail by department and sending mail out as requested.
Being available to do some transportation to alternate locations for training or administrative needs.
Ordering office supplies as needed.
Requesting maintenance of office equipment or building repairs as needed.
Updating and overseeing the Phone/Email Directory for the CBYCS Staff.
Scheduling of conference and training rooms for all programs as requested.
Performing additional assignments as issued by CBYCS management staff (as needed)
Keep track of Office Inventory for Office, cleaning, and IT supplies.
Update The ERT (Emergency Response Team) board on a daily basis
Review and Update the MSDS binder monthly.
Update the Emergency Employee Binder for new hires and employees who are no longer working for the agency.
Perform Monthly Safety Inspection
Excellent computer skills, including database management, Excel, Microsoft, PowerPoint, etc.
Multi-tasking and prioritizing tasks as needed
Excellent analytical, problem-solving, and decision-making skills
Strong organization skills and time management are VERY important, along with strong documentation skills.
Displays sound judgment.
The ability to maintain a professional image in representing the agency both on the phone and in person, as this position is often the first contact.
Strong customer service skills are required, especially when on the phone with families and collaterals.
Strong, active listening skills.
Works well under pressure, given the nature of the environment (phones, staff support)
Building positive, professional relationships with co-workers.
Following the Agency’s policy and procedure around reporting and following the chain of command.
