The Temporary Program Assistant at Northwestern University is responsible for providing administrative support to the Major Gift Strategy Meeting and assisting with various logistical tasks related to donor engagement. This full-time position requires collaboration with team members and effective communication to ensure successful planning and execution of events and meetings.

  • Manage the team Major Gift Strategy Meeting (MGSM) by calling for and assembling agenda items, coordinating guest invites, and setting up technology for hybrid meetings.
  • Take and distribute meeting highlights and next steps from the MGSM.
  • Process travel expenses for team members.
  • Request, assemble, and distribute weekly scheduled prospect/donor visits.
  • Provide logistical support for prospect/donor visits and events, including creating name tags, packets, reserving rooms, arranging parking, and organizing food/beverages.
  • Gather and wrap gifts for events and visits.
  • Communicate about Major Gift engagement opportunities, suggest invitee lists, and liaise with alumni relations and engagement team members.
  • Provide other administrative support as needed.
  • Previous work experience at Northwestern University (NU Financials, Catracks).
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong writing and verbal communication skills.
  • Collaborative work style.
