About The Position

The work involved with this position entails assistance in managing and registering 3000+ students in over 400 ensembles each year, communication with 147 faculty members, and the production and management of of the Ensemble Dept Music festival with performance of over 350 recital over 12 days. There is also a large amount of collaboration with departments throughout Berklee. ie. Academic Affairs, Faculty Development, International Programs, Liberal Arts Dept., the Scholarship Office MP&E, the President’s Office and Film scoring, and the Performance Division. This position will also provide coordination for on campus and off campus events related to the Ensemble Department.

Requirements

  • 2 -4 years experience in office or administrative customer service setting
  • Solid experience with Microsoft Office software (Excel, Word, etc.)
  • Strong customer service and communication skills
  • Solid initiative, flexibility, and collaboration skills

Responsibilities

  • Assist with front desk/ reception duties.
  • Training work study students in the Faculty area
  • Help create and maintain system for tracking faculty office hours
  • Collaborate with Concert Operations Office Assistant for Ensemble performances and visiting artists arrangements
  • Assist with registration during check in week, add/drop, and various special programs
  • Provide technological, ensemble room, and concert staging & production support. Including audio set up, video/audio recording efforts for evening performances in ensemble rooms and other on/off campus performance venues.
  • Manage logistics for ENS festivals and other large productions
  • Scheduling 350-400 recitals in classroom and concert halls
  • Creating and managing production schedules with faculty and concert operations
  • Coordinating work study schedules to assist with set up and break-down of festival rooms
  • Manage Festival advertising and communications.
  • Coordinating Faculty add-comp stage production assignments and hours
  • Assisting with the reassigning of rooms for displaced classrooms during festival.
  • On call and active 9a-11p during the weeks of the festivals April 21-May 2 (including weekends)
  • Post production coordination and video distribution to all faculty
  • Assist with building the ENS Ratings Audition rooms, faculty teams, and rhythm section teams during finals of Fall, Spring, and Summer semesters.
  • After Grading Period – Rating upgrades for all students
