Requirements

  • Associate's Degree in Business, Accounting, Management, or a related field required.
  • 8-10 years of experience in a similar position, preferably in an executive office environment.
  • Strong interpersonal and communication skills are essential.
  • Ability to maintain confidentiality of all transactions and communications.
  • Proficiency in Microsoft Office Suite and electronic calendar scheduling.
  • Ability to provide exemplary customer service and maintain a conducive office environment.
  • Ability to record and transcribe minutes of meetings as needed.

Responsibilities

  • Assist with the implementation and day-to-day office activities of the Division of Institutional Equity, Human Resources, and Organizational Development.
  • Serve as the point person for front office operations and customer assistance.
  • Provide administrative support, including processing general and confidential correspondence.
  • Resolve operational office issues not requiring immediate management attention.
  • Assist with search committees and serve as the primary contact for job applicants and finalists.
  • Communicate sensitive decisions and expectations diplomatically to all constituents.
  • Perform complex clerical tasks, including generating correspondence and reports, maintaining confidential records, and managing appointments.
  • Work with department chairpersons, faculty, students, and external agencies on important projects.
  • Maintain and update the HR website as directed by HR management.
  • Assist with planning and conducting large-scale college-wide activities.
  • Manage multiple calendars for the Division and schedule appointments, including WebEx Teams meetings.
  • Process, review, and maintain invoices for payment and prepare requisitions according to college policies.
  • Compose and proofread general correspondence and maintain a primary name badge list for employees.
  • Train, schedule, and supervise student interns and part-time staff.
