About The Position

Serve as the central business operations partner for the CNS Career Services and Health Professions offices, ensuring compliant purchasing and financial management, efficient office operations, reliable event-business coordination, and strategic support to leadership. This role focuses on process design, financial stewardship, and cross-functional coordination to maximize CNS Career Success impact.

Requirements

  • Bachelor's degree and three years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level, or high school graduation or GED, and seven years of clerical experience.
  • Experience with administrative, business, or financial operations.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office (especially Excel, Outlook, and Word).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to handle sensitive information with discretion.

Nice To Haves

  • Experience in higher education or a large, complex organization.
  • Familiarity with procurement, budgeting, and financial reconciliation processes.
  • Experience with enterprise systems (e.g., financial, HR, or procurement platforms).
  • Knowledge of grant administration or contract processing.
  • Experience coordinating events or supporting project management efforts.
  • Familiarity with tools such as Box, 12twenty, or password management systems (e.g., 1Password).
  • Experience developing or documenting standard operating procedures (SOPs).

Responsibilities

  • Provides day-to-day support for business services, financial operations, and office management, including processing purchasing and travel requests, maintaining financial records, supporting budget tracking and reconciliation, and ensuring compliance with university guidelines.
  • Oversees office systems, communications, space coordination, and onboarding processes while partnering with IT and administrative teams to manage access, inventory, and operations.
  • Supports event logistics and financial oversight, contributes to strategic and cross-departmental projects, and assists with documentation, reporting, and continuous process improvement.
