About The Position

The Events Assistant position exists to support in the coordination and facilitation of highly diversified tasks in assisting with the planning, implementation, follow-up, and evaluation of meetings, events, and conferences. Requires supervision and refers specific, unusual problems to the Events Director. Essential Duties/Responsibilities:­­ Executes setup and teardown of equipment (such as tables, chairs, linens, etc.) for all meetings and events Ensures all meeting rooms are reset and ready for the next activity Communicates with Custodial and Facilities teams related to vacuuming, trash removal or room needs, etc. Checks the event request database daily for all events and activities Works heavily with the Sr. Events Ops and Media Assistant to complete all event operations tasks Assists the Events Team with various event planning and execution tasks related to décor, food and beverage, supply pick-up, and various administrative duties for all events Works with the Sr. Events Ops and Media Assistant to organize and maintain event equipment such as whiteboards, chairs, tables, extension cords, etc Assists in keeping all event storage areas clean and organized, ensuring all operational supplies are well stocked Participates in departmental and pre-conference meetings Uses departmental software for daily tasks including Airtable and Microsoft Office Suite Other Duties/Responsibilities: May assist Events Director with various execution tasks for large to extra-large events including but not limited to volunteer coordination, people management, team communication, general task coordination Performs general office duties (e.g., filing, typing, data entry, etc.) Working Environment/Physical Requirements: Must be able to pass a Post Offer Pre-hire Physical exam Lifting and carrying material up to 50 pounds Pushing/pulling of material up to 50 pounds Continuous use of hands/arms for repetitive movement Must be able to balance, bend/stoop, twist, climb stairs, and reach below, at and above shoulder level May occasionally work outside Ability to work more than 40 hours per week Must be able to walk and stand for extended periods Must be able to hear alarms, phones, voice mail messages, and normal speaking voice JOB QUALIFICATIONS/REQUIREMENTS Character/Spiritual: Exemplifies Ephesians 5:1-2, “Therefore be imitators of God as dear children and walk in love, as Christ also has loved us and given Himself for us...” Pursues the Great Commission given by Jesus Christ in Matthew 28:19-20, “Go therefore and make disciples of all the nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, teaching them to observe all things that I have commanded you; and lo, I am with you always, even to the end of the age.” Is a consistent witness for Jesus Christ; maintains a courteous, Christ-like attitude in dealing with people within and outside of Focus; adheres to the Standard of Moral Conduct and Statement of Faith; upholds Focus on the Family's ministry in prayer Prays personally for Focus on the Family’s staff and constituents and may occasionally lead in a public prayer Engages in Christian ministry Demonstrates behaviors aligned with FOTF core values Personal Characteristics: Humble, good work ethic, flexible, upbeat, and can-do attitude, personable, approachable, professional appearance, team player Emotionally resilient and capable of handling pressure Knowledge/Experience: Preferably 1-2 years of experience organizing and implementing conferences, seminars, retreats, or other related functions Experience in the hospitality industry helpful Must have basic knowledge of Microsoft systems (Word, Outlook, and Teams) Skills, Abilities, and Special Talents/Gifts: Strong ability to work independently Strong planning and organizational skills Proficient in the use of computer hardware and software Ability to communicate effectively and tactfully at all levels Strong ability to be flexible and handle multiple projects, meeting strict deadlines
