The position involves performing all insurance verifications and pre-determinations/pre-authorizations. The individual will assist patients with third-party billing systems and review patient insurance breakdowns for accuracy. The role requires understanding and utilizing CDT codes and working closely with both administrative and clinical staff. Building positive relationships with patients through effective and courteous communication is essential.

  • Operate office equipment, such as voice mail messaging systems, and use word processing, label making software, copier, printer and scanner.
  • Communicate effectively, courteously, and professionally with patients, parents/legal guardians, and clinical and administrative staff.
  • Inform patients of their fiscal responsibilities with respect to their particular insurance coverage.
  • Interview patients to complete documents such as insurance forms.
  • Complete insurance verification forms and contact patients regarding pre-authorization/pre-determination status.
  • Understand and utilize CDT codes.
  • May be responsible for opening the office.
  • Treat patients, visitors, and co-workers with respect and courtesy.
  • Use conflict resolution and problem-solving techniques in managing interpersonal conflict and patient complaints.
  • Efficiently operate assigned computer software (i.e., Eaglesoft, and Microsoft Office Suite).
  • Prepare and deliver reports on time.
  • Ensure printed material and forms are up to date, with insurance verification forms updated semi-annually.
  • Create and follow up with Medicaid pre-authorizations and traditional insurance pre-determinations.
  • Contact patients for additional insurance information and/or additional documentation.
  • Communicate patient concerns to Dental Office Manager or Doctor.
  • Comply with Dental Depot policies and procedures, OSHA policies, procedures, rules, and regulations, as well as HIPAA policies.
  • Schedule approved treatment.
  • May be required to relocate to other Dental Depot clinics either permanently or on a short-term basis due to office needs.
  • Complete other Administrative and Maintenance tasks as assigned by Management.
  • Maintain regular and reliable attendance.
  • Proficient in using office equipment and software, including Eaglesoft and Microsoft Office Suite.
  • Ability to communicate effectively and courteously with patients and staff.
  • Understanding of CDT codes and insurance verification processes.
  • Strong problem-solving and conflict resolution skills.
  • Ability to maintain confidentiality and comply with HIPAA regulations.
