About the position

The Technology Deployment Project Administrative Assistant at Idaho National Laboratory plays a crucial role in ensuring the smooth operation of technology department projects, proposals, and programs. This position supports the administration and execution of technology transfer projects, enhancing the lab's impact and securing additional funding. The assistant will also manage reception responsibilities and provide backup support for other administrative tasks, all while working a 9x80 schedule with every other Friday off.

Responsibilities

  • Compose, type, edit, and proof a variety of documents, reports, and correspondence.
  • Design charts and graphs for oral presentations.
  • Initiate and respond to routine and non-routine correspondence.
  • Respond to problems/inquiries and complete periodic and special reports.
  • Order supplies by generating requisitions through organizational systems.
  • Act as the Point of Contact (POC) and escort for vendors performing maintenance on office equipment.
  • Receive, refer, and answer mail, walk-in, and telephone inquiries regarding organizational activities.
  • Manage multiple calendars efficiently, prioritizing needs and resolving scheduling conflicts.
  • Coordinate travel accommodations and prepare travel expense records.
  • Handle project classified and unclassified sensitive data according to protocol.
  • Advise managers on record retention, storage, or destruction of organization records.
  • Maintain office records and files, ensuring confidentiality and security of sensitive documents.
  • Coordinate logistical space and onboarding of new employees.
  • Monitor status of critical items, assignments, and deadlines to ensure completion.

Requirements

  • High School Diploma and 2 years of relevant experience for Level NE2.
  • High School Diploma and 4 years of relevant experience for Level NE3.
  • Ability to obtain and maintain a Department of Energy 'L' clearance, requiring US Citizenship.

Nice-to-haves

  • Experience in administrative support within a technical or engineering environment.
  • Familiarity with project management tools and software.
