About The Position

We are seeking a Technician I - Shop Drawing Coordinator Assistant to join our team in Ocoee, FL. The Shop Drawing Technician will be performing a range of construction project control functions including administration of construction and maintenance contracts, management and tracking of Bid Sets, Submittals, Shop Drawings, correlating project specifications and drawing plan sheets, file management (electronic filing), and other administrative duties including copying, scanning documents, development and tracking of project-related logs, and other functions as required to support the project controls group, project managers, and construction engineers on a variety of FTE and other FDOT construction and maintenance projects. Assists and coordinates the administration of processing Shop Drawings electronically by utilizing Turnpike’s Website (ProjectSolve SharePoint) to store, track and process them. Shop Drawings are submitted and processed electronically through the Website. Monitors the Architects of Record/Engineers of Record and the Turnpike Reviewers’ review time and finalizes the processed shop drawings back to the General Contractor. Ensures the shop drawing has been printed to PDF to secure the stamps, the comments and reduce the shop drawing to concur with the process. Your role Shop Drawing Process involves the following, but not limited to other duties: Once a new project is assigned by the Shop Drawing Manager, Assistant Shop Drawing Coordinator will need to create a project folder on the Shop Drawings drive and add the “New Project Master Folder”, which includes various folders for use throughout the project. Coordinates the Team Directory in the project site in ProjectSolve to ensure the CEI has entered the Team’s contact information to develop Shop Drawing Procedures. Information will then be added to the project roles in the system by the ProjectSolve Team. Coordination may be required with the Project Team to determine if any special roles will be required in ProjectSolve (ex., EOR and 2nd EOR). Coordinates with the Project Manager for the Welding Inspection and any other special request for the project, participates in the Pass the Torch Meeting, Pre-Construction Meeting and Project Meetings. For District projects, the coordinator contacts the Project Manager to obtain project team information to create the Procedures and for Maintenance/Permit projects, coordination is done with the Facilities/Maintenance Manager. Coordinates with the Shop Drawing Manager and with the ProjectSolve administrator to add the projects into the system, with the required roles. Once a project has been created in ProjectSolve, the Coordinator will then enter the team’s contact information into the “Non-Construction ProjectSolve Access Requests” page in the system. Sends Shop Drawing Procedures, shop drawing list format and shop drawings list instructions to the project Construction Engineer Inspector (CEI), Construction Project Manager (CPM) and Production Project Manager (PM) to coordinate shop drawings items and schedule. Coordinate with the Construction Engineering Inspector (CEI) to provide a Shop Drawing/ Submittal Item List from the General Contractor. If the CEI is with the district, the coordinator should coordinate directly with the Contractor regarding the Shop Drawing Item List. Once the Shop Drawing Coordinator receives the list back from CEI and Contractor, and all corrections have been made, coordinate with the Architect of Record (AOR)/Engineer of Record (EOR) for any changes/additions. SharePoint application on the Intranet is utilized for Shop Drawing List coordination with the Turnpike Reviewers. The Shop Drawing Coordinator creates the project in SharePoint and distributes the list to the Turnpike Reviewers to determine what items are critical for their review. After the list is reviewed by the Turnpike Reviewer Shop Drawing Coordinator uploads the list into Project Solve using the requirements and instructions and sends the request for the administrators to synch the list. Provides ProjectSolve training to the project team on each new project. Ensure that the CEI is familiar with creating the Shop Drawing/Submittal Status Report, so that they can track their progress and determine if resubmittals are required and/or that all shop drawings are being submitted based on the project’s schedule. Once the Contractor submits a shop drawing, review to make sure it complies with the shop drawing requirements. During the review process, it may be necessary to void Contractor’s shop drawings or submit back to the EOR if any errors are found. Distributes shop drawings to the Turnpike Reviewers, if review required. Tracks review time and follow up with EOR and/or Turnpike Reviewers, if necessary. If multiple Turnpike discipline reviews are required, the coordinator makes sure that the reviewers are coordinating with each other and return one shop drawing, with all discipline comments (if any) and stamps. Process and close out shop drawings. Assist other Assistant Shop Drawing Coordinators as necessary. Sends processed shop drawings to Welding Consultant or Precast Inspector, if applicable. Coordinates with CEI throughout the project regarding outstanding and unresolved shop drawings to ensure that all shop drawings are resolved prior to close-out of project. Coordinates new item requests by the Contractor to be added to the original shop drawing item list, the SDC should coordinate with the AOR/EOR and Turnpike Reviewer(s) to confirm that the items are required and determine whether the Turnpike will be reviewing. Provides tools and assists new Turnpike reviewers, Project Managers with Shop Drawing process and provide ProjectSolve training, if required. Assist reviewers with the installation of the shop drawing stamps onto their computers. Assist in searching EDMS for documentation and archiving shop drawings once they are closed.
