The HIM Tech Specialist provides clerical support along with scanning duties in the functional areas of data compilation, quantitative analysis and verification of records, maintenance of files and correspondence in the HIM Department. The position is full-time and reports to the Director of HIM. The HIM Tech Specialist analyzes assembled records for chart completion deficiencies, ensures deficiencies are assigned to the appropriate medical staff member, and reviews documentation to update or clear deficiencies as appropriate. The role also involves answering telephone calls, assisting visitors, retrieving and logging medical records, and training physicians/APRNs to dictate and e-sign dictation and orders.

  • Analyzes the assembled record for chart completion deficiencies, in accordance with regulatory requirements and medical staff rules and regulations.
  • Ensures any deficiencies are assigned to the appropriate medical staff member and data is entered for tracking and monitoring purposes.
  • Reviews documentation and updates or clears the deficiencies as appropriate.
  • Responsible for answering telephone calls and assisting visitors while maintaining confidentiality.
  • Retrieves, logs, prints medical records as requested by physician offices, patients, other hospitals and other entities as needed.
  • Notify Director of any outstanding records, issues with equipment, processes or other job concerns.
  • Take on-call rotation for retrieval of records, fax transfer records, pull power of attorney papers, etc.
  • Assists with other HIM daily functions.
  • Works closely with physicians and ensures they are set up to dictate into the system.
  • Trains physicians/APRNs to dictate and e-sign dictation and orders.
  • Ensures completion of records for joint commission standards.
  • Works the hold queue for the dictation system.
  • Makes physicians aware of late dictations, updates and cut-off dictation.
  • Data entry for still births.
  • High school diploma or equivalent required.
  • Experience in release of information practices preferred.
  • Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
  • Must be able to work in a stressful environment and take appropriate action.
