About The Position

The Technical Sales Scheduler provides administrative support for the Design Hub and Truss Plant. This position requires a high level of critical thinking, organization and problem solving to support the day-to-day design operations. Monitor component orders, coordinate delivery schedules and ensure timeliness of invoicing.

Requirements

  • High School Diploma or GED (General Education Degree) is required.
  • Proficient in Microsoft or Google Suite: Word, PowerPoint, Excel, Project.
  • Proactively and independently gather information in order to maintain project accuracy.
  • Ability to multi-task, prioritize and manage multiple projects to meet project deadlines.
  • Strong communication, interpersonal and customer service skills required.
  • Exceptional attention to detail and accuracy in performance.
  • Ability to work with a variety of people and circumstances while maintaining customer relations.
  • Excellent organizational, time management, problem-solving and conflict-resolution skills.
  • Proficient computer skills, including Microsoft Office, primarily Excel, Word & Outlook.
  • Ability to effectively present information one on one and in small group situations.
  • Ability to perform routine mathematical calculations.
  • Ability to carry out written or oral instructions.
  • Good interpersonal, communication and customer service skills.

Nice To Haves

  • Associates Degree in business or related field is preferred.
  • Knowledge of construction or building components is helpful.
  • Project management experience is helpful.
  • Ability to read and interpret blueprints preferred.

Responsibilities

  • First point of contact for Design Hub to establish relationships by answering and directing incoming calls.
  • Provide and maintain a strong communication link between customers, sales and design staff through sufficient product knowledge.
  • Review all incoming new orders for up to date and complete sets of plans.  Check with the General Contractor, Architect or Engineer for updates as required.
  • Organize and upload all new and updated plans and submittal drawings (redlines) to Mitek Management system. Pay attention to possible price changes.
  • Work with sales staff to provide complete information to design staff on orders and estimates to include building breakdowns, sequencing order, start sheets on production builders, site specific information, price and BDFT breakdowns on “split” buildings.
  • Review Design and Estimating Schedules for potential conflicts and reassign projects as required by working with Production Schedulers as it relates to timing of schedules for production work.
  • Document and manage RFI documents sent from designers and ASI documents from customer/architect/engineer.
  • Help with day-to-day office operations.
  • Edit, change and document delivery dates of existing orders in Management.
  • Monitor existing orders and proactively troubleshoot challenges that will affect maintaining original delivery dates (Maintain schedule to production capacity).
  • Communicate to other departments the changes in scheduled orders as necessary.
  • Assist sales and dispatch in communicating with customer to confirm delivery dates and special delivery instructions.
  • Process work orders when production is complete and ensure sales orders are invoiced at delivery.
  • Assist with creating sales orders in Bistrack and document Management with Bistrack order info.
