About The Position

The Technical Project Associate is a pivotal operational role designed to accelerate the delivery of projects, RFP’s, RFI’s, and other organizational project management needs. This role also supports the procurement process and management of internal technical tools and professional services. Serving as a force multiplier for the IT&S department, this role operates on a hybrid model: 75% focused on Technical Project Management support (software and services RFP’s and RFI’s) and 25% dedicated to Procurement administration. You will bridge the gap between planning and execution, handling the logistics that keep projects moving and ensuring software assets are acquired and renewed efficiently.

Requirements

  • Experience: 1-3 years of experience in project coordination, administrative support, or a related operational role within a technical environment.
  • Organized: Exceptional attention to detail with the ability to manage multiple timelines and follow up on tasks without prompting.
  • Communication: Strong written and verbal communication skills, capable of effectively chasing down answers from vendors and internal stakeholders alike.
  • Tech Savviness: Familiarity with project management tools (e.g., Jira, Monday.com, Smartsheet, Asana) and office productivity suites.
  • Adaptability: Ability to switch contexts between detailed project tracking and external vendor negotiations efficiently.
  • Technical Fluency: General knowledge of software ecosystems, specifically understanding that applications require system integrations and hardware dependencies. You do not need to know how these function technically, but you must know they exist and be able to write clear tasks for technical teams to define the specifics.
  • Proficiency in spoken and written English

Responsibilities

  • RFP/RFI Coordination: Manage the administrative workflow of Requests for Proposals (RFPs) and Requests for Information (RFIs), ensuring vendors respond on time and all necessary documentation is collected for review
  • RFP/RFI Logistics & Administration: Maintain daily RFP/RFI artifacts, including meeting minutes, action item logs, and risk registers. Draft critical project documentation, including executive summaries, reports, and filling out RFP templates
  • Milestone & Timeline Enforcement: Actively monitor project plans to ensure deliverables remain on schedule, following up on action items and escalating potential roadblocks
  • Stakeholder Task Coordination: Work directly with business owners to capture and organize project tasks, ensuring that incoming requests are clearly defined, prioritized, and ready for execution
  • Reporting: Compile data for weekly status reports, helping to visualize project health, velocity, status, and blockers for leadership review
  • Documentation Management: Ensure all project documentation is centralized, up-to-date, and accessible to relevant teams
  • Software Lifecycle Management: Proactively manage the renewal calendar; track expiration dates and initiate renewal discussions well in advance to prevent service interruptions or auto-renewals
  • Contract Repository Management: Maintain the centralized repository of all software vendors and contracts, ensuring 100% data accuracy and accessibility for the department.
  • Vendor Communication: Serve as a primary point of contact for routine vendor inquiries, scheduling demos, and gathering quotes to support the Procurement Lead.
  • Demonstrate fair, ethical, and equitable business practices
  • Handle sensitive and confidential matters/ data with the utmost discretion and integrity
  • Support technical projects that may involve systems and data containing PII and confidential executive strategic information
  • Coordinate project activities, documentation, and communications while ensuring sensitive information is shared only with authorized stakeholders
  • Learn eagerly, share knowledge appropriately, and improve continuously
  • Demonstrate successful planning and problem-solving skills, including multitasking and working well within tight timelines
