About The Position

Our data-driven, flexible model helps startups and scaling companies hire world-class talent quickly and sustainably. We’re looking for a Talent Operations Specialist who’s the glue that keeps our recruiting and talent operations engine running smoothly — and helps it scale. You’ll ensure candidates, recruiters, and talent programs move quickly and consistently, using good judgment to spot issues, prioritize, and keep things moving. If you love bringing order to chaos, thinking a step ahead, and balancing operational work with a bit of creativity, this could be a great fit. This role is fully remote, with a preference for candidates based in Ontario, Nova Scotia, or Alberta, and requires availability during EST core working hours.

Requirements

  • You have 2+ years of experience in recruiting coordination, talent operations, HR support, or a similar role
  • You’ve worked in an ATS (Ashby preferred — we can train the right person)
  • You’re comfortable working in modern collaboration tools such as MacOS, Google Workspace, and Slack
  • You’re detail-oriented and take pride in catching small mistakes before anyone else does
  • You care deeply about creating an excellent candidate experience
  • You’re highly organized and comfortable juggling multiple tasks and priorities
  • You move fast, stay proactive, and follow through
  • You communicate clearly, confidently, and with warmth
  • You can assess a situation, use good judgment, and take action — while knowing when to ask questions or escalate

Responsibilities

  • Support interview coordination across roles, clients, and time zones (mostly automated, stepping in for exceptions)
  • Post and manage job ads, job materials, and candidate data in Ashby
  • Prepare and send offers and support candidate communication throughout the process
  • Support resume screening and light sourcing as needed to help keep roles moving
  • Troubleshoot scheduling, data, or process issues to keep things on track
  • Execute and support recruiting workflows, audits, reporting, and overall ATS hygiene
  • Coordinate talent programs, starting with our outplacement service
  • Support additional talent operations initiatives and projects as needed
  • Create and publish recruiting-related social content, turning jobs into engaging posts and helping improve how roles show up externally
  • Across all areas, you’ll apply critical thinking and judgment to identify issues, prioritize, and improve how things run day to day.
