Talent Acquisition Specialist We’re looking for a Talent Acquisition Specialist who understands that every detail in the hiring process shapes how candidates experience our company. In this role, you will be the operational backbone of recruiting—ensuring interviews run smoothly, communication is seamless, and every candidate interaction feels thoughtful, timely, and human. You’ll partner closely with recruiters and hiring managers to bring consistency, efficiency, and care to the hiring process, helping transform recruiting operations into a high-quality candidate experience.

Responsibilities

  • Own Interview Scheduling & Logistics
  • Coordinate and schedule interviews across multiple time zones, ensuring a smooth and efficient process for candidates and interview teams
  • Manage complex calendars and adjust schedules proactively to minimize disruptions
  • Prepare and distribute interview confirmations, agendas, and logistics with clarity and professionalism
  • Ensure interviewers and candidates are fully prepared with the information they need
  • Deliver a High-Quality Candidate Experience
  • Serve as a primary point of contact for candidates throughout the interview process
  • Provide timely, clear, and empathetic communication at every stage
  • Anticipate candidate needs and proactively address questions or concerns
  • Create a welcoming and organized experience that reflects our company’s values
  • Support Recruiting Operations & ATS Management
  • Maintain accurate and up-to-date candidate records in the Applicant Tracking System (ATS) Workday
  • Manage job postings, candidate workflows, and interview stages
  • Ensure data integrity and consistency across systems
  • Support process improvements that enhance efficiency and reduce friction
  • Partner with Recruiters & Hiring Managers
  • Act as a key support partner to recruiters by managing coordination, logistics, and administrative tasks
  • Assist hiring managers with scheduling, interview preparation, and process guidance
  • Help ensure alignment and consistency across the hiring process
  • Step in to solve problems quickly and keep the process moving forward
  • Track Progress & Support Reporting
  • Monitor candidate pipeline activity and interview progress to ensure timelines are met
  • Assist in tracking key recruiting metrics such as time-to-interview, scheduling turnaround, and candidate responsiveness
  • Provide reporting support and insights to recruiters and stakeholders
  • Identify gaps or delays and proactively recommend solutions
  • Enhance Processes & Moments that Matter
  • Continuously look for ways to improve coordination workflows and candidate touchpoints
  • Help identify “moments that matter” in the candidate journey and elevate them through thoughtful execution
  • Contribute to building scalable, repeatable processes that maintain a high-quality experience
