About The Position

As a Talent Acquisition Coordinator, reporting to the Director of Talent Acquisition, you will support the HR and recruiting teams in coordinating and facilitating the recruitment process. Your role will involve managing the administrative and logistical aspects of hiring, ensuring a seamless experience for both candidates and internal stakeholders. You will be key in helping the organization attract top talent by managing communication, scheduling, and ensuring that all necessary documentation and background checks are completed.

Requirements

  • Bachelor's degree in human resources, Business, or a related field (or equivalent experience).
  • 1+ years of experience in recruitment, HR coordination, or HR Administration.
  • Familiarity with Applicant Tracking Systems (ATS), HRIS, and onboarding tools.
  • Strong interpersonal and communication skills, with the ability to interact professionally at all levels of the organization.
  • Strong project management and process improvement experience.
  • Exceptional organizational and multitasking abilities.
  • Detail-oriented with a focus on delivering an outstanding candidate experience.
  • Knowledge of employment law and HR best practices related to hiring and onboarding.
  • Proven experience as a Recruitment Assistant, HR Assistant, or in a similar support role.
  • Familiarity with the full hiring process, including sourcing, screening, interviewing, assessments, and onboarding.
  • Hands-on experience with applicant tracking systems (ATS), recruiting software, and social media platforms (e.g., LinkedIn) for candidate outreach.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Exceptional attention to detail and accuracy in handling documentation and data.
  • Excellent verbal and written communication skills, with the ability to interact professionally with candidates and stakeholders.
  • Strong problem-solving skills, with the ability to think quickly and address issues as they arise.

Nice To Haves

  • Experience in a fast-paced or high-volume recruitment environment.
  • Proficiency with HR software and tools.
  • Experience implementing or improving onboarding processes.

Responsibilities

  • Coordinate end-to-end hiring activities and provide administrative support to the recruiting team.
  • Perform clerical duties such as status changes, candidate processing, answering emails, drafting offer letters, and maintaining accurate documentation.
  • Prepare and post job ads on various online platforms, including job boards and social media, to attract diverse talent.
  • Assist in resume screening and conduct initial phone screens to assess candidate qualifications.
  • Schedule interviews, manage calendars for hiring teams and candidates, and ensure timely communication throughout the process.
  • Greet and assist candidates during onsite interviews, ensuring a positive candidate experience.
  • Coordinate travel and accommodation arrangements for fly-in candidates.
  • Process and follow up on background checks and reference verifications.
  • Maintain and update the candidate database, ensuring data accuracy and confidentiality.
  • Handle all records, paperwork, and documentation related to hiring and compliance requirements.
  • Proactively resolve issues, such as last-minute interview cancellations or scheduling conflicts, to maintain a smooth workflow.
  • Support new hire onboarding activities, including preparing documents and coordinating orientation schedules.
  • Collaborate with the HR and recruiting teams to continuously improve the hiring process and candidate experience.
  • Complete other job-related assignments and special projects as directed.
