We’re looking for a Talent Acquisition Coordinator in Orlando, FL to join our team and play a critical role in delivering a smooth, high-quality hiring experience for both candidates and hiring managers. This is a heavily administrative, highly operational role that sits at the center of our recruiting process. You’ll be responsible for interview scheduling, candidate communication, offer and onboarding coordination, and keeping our systems and processes running cleanly and efficiently. This position is in-office 4 days per week and is ideal for someone who thrives in a fast-paced, deadline-driven environment, loves organization and process, and takes pride in delivering a first-class experience.

Requirements

  • 6+ months of experience in talent acquisition, recruiting, or sourcing (preferred)
  • 1+ years of experience in HR support, administrative operations, customer service, hospitality, or other service-oriented roles
  • Experience with LinkedIn, ATS platforms, or structured interview processes (preferred)
  • Experience managing complex interview scheduling, including senior-level stakeholders and multiple time zones
  • Proficiency with Slack, Google Products, Zoom, or similar collaboration and scheduling tools
  • Strong Google Sheets and general comfort with systems, tools, and data
  • Confidence working in a fast-paced, deadline-driven environment
  • A strong service mindset toward both candidates and hiring managers
  • Excellent organizational skills, strong attention to detail, and consistent follow-through
  • Clear, professional written and verbal communication
  • Experience using ATS platforms
  • High integrity and sound judgment, especially when handling confidential information
  • Comfort operating with urgency, changing priorities, and evolving processes
  • A strong in-office presence and confidence supporting and guiding onsite interviews

Responsibilities

  • Coordinate and schedule interviews across multiple stakeholders, time zones, and calendars, ensuring timely communication and a seamless candidate experience.
  • Serve as a professional, responsive point of contact for candidates throughout the hiring process.
  • Prepare and send offer letters using DocuSign and support offer acceptance workflows.
  • Initiate background checks and manage pre-employment steps.
  • Support onboarding by coordinating paperwork, follow-ups, and day-one readiness.
  • Maintain accurate documentation and data in the ATS and recruiting tools.
  • Support the development and implementation of HR policies and procedures.
  • Recommend process improvements that increase efficiency, quality, and scalability across recruiting and HR operations.
  • Participate in supporting department goals, objectives, and systems.
  • Escalate issues or risks to the manager when appropriate.
  • Ensure recruiting processes are followed consistently and with integrity.
  • Provide general administrative and office support as needed.
