Under direct supervision, serves as campus switchboard receptionist by answering all incoming calls and transferring them to the appropriate department or person; serves as campus mail clerk; processes all incoming and outgoing campus mail and delivers bulk mail to Post Office; performs cashier-related duties for payment of a variety of student charges/fees.

  • Answers all incoming calls, including local, long distance, 800, and on-campus calls, and connects the caller to the correct extension.
  • Provides information on telephone numbers and extension numbers as needed.
  • Provides information to visitors and on-campus personnel regarding current and future events.
  • Maintains current information on switchboard voicemail and delivers messages left on voicemail to the correct office/person.
  • Maintains contact with campus security to relay messages and calls for security when needed.
  • Sorts incoming mail (both from the Post Office and on-campus mail) and puts it into the correct on-campus mailbox for faculty, staff, and students.
  • Assists students with sending and receiving mail and packages.
  • Checks out mailbox keys and maintains records of keys for all boxes.
  • Maintains and secures inventory of duplicate keys.
  • Maintains records of all incoming packages for students.
  • Keeps abreast of and maintains documentation on all postal regulations.
  • Sorts and bundles outgoing mail, including packages and all special mailings, according to Postal Service requirements.
  • Applies correct postage and prepares for mailman to collect daily.
  • Maintains a log on insured, certified, bulk, and any other special mailings.
  • Prepares monthly campus departmental postage usage reports for regular, bulk and business reply mail.
  • Maintains petty cash for purchase of stamps and have stamps available for sale to students and campus personnel.
  • Performs cashier-related duties and processes payments for all student charges, including tuition and fees, room and board, deferred payments, damages, graduation fees, telephone charges, dorm deposits, nursing insurance, and a variety of other miscellaneous fees.
  • Ability to use a variety of office equipment and calculators, including computer basic skills and Excel spreadsheets.
  • May serve on various campus committees as assigned.
  • Performs other duties as assigned or required.
  • High school diploma or equivalent required.
  • Six (6) months of clerical experience OR an equivalent combination of education, training, and experience preferred.
  • Knowledge of college policies and procedures affecting assigned work.
  • Knowledge of postal rules and regulations.
  • Knowledge of basic arithmetic.
  • Knowledge of office telephone etiquette.
  • Skill in handling and counting cash.
  • Skill in communication with the public.
  • Skill in verbal and written communication and using basic arithmetic.
  • Skill in following verbal and written instructions.
  • Skill in basic filing and recordkeeping.
  • Good organization skills and time management skills.
  • Skill in basic Microsoft Excel.
  • Skill in establishing and maintaining effective working relationships with other department staff, faculty, students, and the public.
  • Ability to follow detailed instructions required for maintenance of accurate records.
  • Ability to use various office equipment and calculators, including computer proficiency in word processing, multi-line phone systems, and online fiscal application systems.
  • Ability to safely move up to 25 pounds.
