About The Position

The Swim and Fitness Center Administrative Coordinator is responsible for overseeing administrative and technical work within the division, ensuring efficient operations and high levels of customer satisfaction. This role includes supervising part-time staff, managing front desk operations, and handling financial transactions, while also engaging with the public and supporting the division's goals.

Requirements

  • Associate's degree in business or public administration or a closely related field.
  • Five years of progressively responsible work in business, public administration, customer service, or office management.
  • Proficiency in Microsoft Office Suite and computerized financial and registration systems.
  • Valid state driver's license.
  • Prior supervisory or lead worker experience is preferred.

Nice To Haves

  • Experience working at an Aquatics, Recreation, or Fitness Facility.
  • Experience working with young adults.
  • Willingness to cross-train in other areas of the Division's operations.

Responsibilities

  • Direct all aspects of the Front Desk operation including staff management and training of part-time employees.
  • Hire, supervise, schedule, coordinate, and evaluate activities of secretarial/clerical staff.
  • Serve as the 'super user' for the facility's registration, reservation, point of sale, payroll, and financial software.
  • Instruct staff on administrative duties, customer service, cash handling, and technology use.
  • Reconcile revenues and prepare bank deposits, ensuring timely deposits at the bank.
  • Prepare, review, and reconcile bi-weekly payroll for part-time staff using an electronic timekeeping system.
  • Respond to customer inquiries regarding financial questions and facility information.
  • Assist in marketing efforts, including website maintenance and creating promotional materials.
  • Coordinate facility reservations for internal and external groups.
  • Lead birthday party and group pre-paid admissions programs.
