About The Position

Family Inceptions is a nationally recognized surrogacy and egg donation agency that has been building families since 2008. We’re looking for a former surrogate who’s ready to turn her personal experience, recruiting talent, and social media confidence into a career as the first point of contact for women considering surrogacy. As the Intake Coordinator, you’re the first voice they hear and the person who helps them move from curiosity to clarity and confident next steps. You’ll guide prospective surrogates from their very first question through screening and onboarding, and your lived experience is what makes you uniquely qualified to do it with heart, honesty, and credibility.

Requirements

  • Previous surrogate who has personally completed at least one surrogacy journey.
  • 2-7+ years of recruiting, intake, sales, or talent acquisition experience with a track record of sourcing, screening, and converting candidates.
  • Outgoing personality; comfortable on camera and confident as a public-facing representative.
  • Strong comfort with high-volume pipelines, fast follow-up, and structured conversion workflows.
  • Experience with intake processes, candidate screening, or client-facing roles in a service-oriented environment.
  • Proficiency with CRM/ATS systems (Applicant Tracking Systems), reporting, and data accuracy.
  • Comfortable using social platforms (Instagram, TikTok, YouTube) for outreach and basic content collaboration.
  • Connect with people and provide comfort during emotional, sensitive conversations.
  • Juggle multiple candidates, priorities, and deadlines without dropping the ball.
  • Communicate clearly across phone, email, video, and social media.
  • Stay composed and professional in high-pressure situations.
  • Work independently and stay self-motivated in a fully remote environment.

Responsibilities

  • Respond to inbound surrogate leads quickly and professionally (phone, email, text, and approved platforms).
  • Present our surrogacy program with confidence, including compensation, timelines, and requirements.
  • Conduct consultative screening calls to assess qualifications, motivation, and fit.
  • Overcome objections, answer questions, and guide candidates from inquiry through completed application.
  • Meet and exceed monthly conversion goals (speed-to-lead, application completion, qualified-to-screened, screened-to-approved).
  • Own follow-up: keep candidates warm, engaged, and informed at every stage.
  • Proactive candidate sourcing through referrals, outreach, social media, and community/industry networking.
  • Build and maintain a pipeline of pre-qualified candidates ready to enter the program.
  • Collaborate with marketing to support recruitment content (captions, FAQs, short videos, live Q&As as needed).
  • Represent Family Inceptions at industry events and community outreach when applicable.
  • Conduct preliminary assessment interviews using company guidelines and legal requirements.
  • Coordinate medical records retrieval, following up with clinics and providers as needed.
  • Manage onboarding paperwork in coordination with the Administrative Support Coordinator.
  • Ensure all documentation is complete, signed, and properly filed before advancing any candidate.
  • Maintain applicant profiles, data integrity, and file security on company platforms.
  • Maintain accurate candidate records and real-time pipeline stages in our CRM/ATS.
  • Track outreach activity, lead status, and conversion metrics; report weekly on progress, bottlenecks, and opportunities.
  • Support process improvements that increase conversion rates and reduce drop-off.
  • Coordinate candidate scheduling, assessments, and required steps with speed and attention to detail.
  • Follow up proactively with candidates at every stage of qualification and onboarding.
  • Serve as a subject matter expert on the surrogacy process, legal aspects, and medical procedures.
  • Coordinate with Journey Managers for smooth handoffs and continuity of care.
  • Communicate exclusively through company-approved systems (Dialpad, Microsoft Teams, email).
  • Ensure compliance with HIPAA, ethical standards, and applicable federal and state law.
