About The Position

The Surgical Scheduler for Urology is responsible for managing patient appointments, scheduling hospital and ambulatory admissions/procedures, and ensuring timely communication and action regarding patient needs. This role is essential in maintaining a smooth workflow within the healthcare setting, providing excellent customer service, and supporting the medical staff in delivering high-quality care.

Requirements

  • High School Graduate or GED required; Associate Degree preferred.
  • Previous experience as a Patient Service Representative (PSR) preferred.
  • Previous office experience preferred.
  • Ability to communicate effectively in English, both orally and in writing.
  • Excellent interpersonal and customer service skills are essential.
  • Accurate computer data entry skills are required.
  • Ability to organize and perform multiple tasks in a timely manner.
  • Knowledge of medical office procedures and terminology preferred.
  • Basic proficiency in computer use is required.
  • Experience with Electronic Health Records (EHR) and Practice Management Systems preferred.

Nice To Haves

  • Heartsaver certification within 30 days of hire.
  • Experience with Standard Office Technology in a Windows-based environment preferred.

Responsibilities

  • Greet patients and their families, ensuring a welcoming environment.
  • Schedule patient appointments and hospital admissions/procedures efficiently.
  • Answer telephone calls promptly and address caller needs expeditiously.
  • Direct calls appropriately and take accurate messages for the relevant individuals.
  • Schedule future appointments, tests, and referrals as ordered by physicians.
  • Prepare charts for new patients, ensuring all required forms are included.
  • Request and prepare medical records for physician visits prior to exams or treatments.
  • Reconcile patient encounters daily according to policy and guidelines.
  • Monitor supply inventory and manage requisitions for necessary supplies and equipment.
  • Perform clerical duties including faxing, photocopying, filing, and mailings.
  • Verify and update patient information while maintaining confidentiality.
  • Establish and maintain positive working relationships with physicians and nursing staff.
  • Communicate any issues or concerns promptly to the Nurse Manager.
