About The Position

The Surgical Scheduler for General Surgery is responsible for scheduling hospital and ambulatory admissions, coordinating pre-admission testing, and ensuring all necessary information and consents are available for patient admissions and procedures. The role involves entering diagnostic tests and procedures into the orders management system, arranging and distributing the surgery schedule, and communicating any issues to the Nurse, Physician, or Clinical Manager. The position also requires performing clerical duties such as faxing, photocopying, scanning, and filing, while maintaining positive relationships with physicians and nursing staff. The scheduler must demonstrate a working knowledge of booking and scheduling procedures, insurance and pre-certification requirements, and customer service skills to alleviate patient anxiety. Other responsibilities include logging surgical procedures, arranging for specialty equipment, and interacting with outside vendors as needed.

Requirements

  • High School/GED required; Vocational/Technical School/Diploma Program preferred.
  • Heart Saver certification within 90 days of hire required.
  • 0 - 1 years experience; 2-4 years experience preferred.
  • Knowledge of medical terminology preferred.
  • Ability to communicate in English, both orally and in writing.
  • Strong interpersonal and organizational skills.
  • Ability to perform diverse work assignments with time limitations with a high degree of accuracy.
  • Ability to use problem solving, critical thinking and priority setting skills.
  • Experience with Standard Office Equipment (Phone, Fax, Copy Machine, Scanner, Email/Voice Mail) preferred.
  • Experience with Standard Office Technology in a Windows-based environment preferred.
  • Experience with patient care equipment preferred.
  • Experience with EHR, Practice Management System and Departmental/Ancillary Systems preferred.

Responsibilities

  • Responsible for scheduling hospital and ambulatory admissions.
  • Verbalizes procedure for collection of pre-admission testing data.
  • Coordinates required testing prior to admission and ensures all information and consents are on site for patient's admission/procedure.
  • Schedules and enters diagnostic tests and procedures into orders management system, following all appropriate workflows.
  • Arranges types and distributes surgery schedule.
  • Communicates problems to Nurse/Physician/Clinical Manager.
  • Employs appropriate and timely use of tasking.
  • Accurately completes any/all necessary forms for the patient.
  • Performs various clerical duties including faxing, photocopying, scanning, filing and mailing.
  • Establishes and maintains a positive working relationship with physicians and nursing staff.
  • Demonstrates understanding of submission of necessary documents for hospital and patient procedures.
  • Demonstrates a working knowledge of booking and scheduling inpatient, outpatient and special procedures.
  • Demonstrates a working knowledge of insurance and pre-certification requirements.
  • Demonstrates working knowledge for rescheduling and canceling procedures.
  • Demonstrates customer service skills when communicating with peers/other departments.
  • Verbalizes customer service skills to alleviate patient anxiety.
  • Demonstrates good judgment in scheduling procedures to increase physician productivity.
  • Demonstrates understanding of emergency procedures.
  • Logs surgical procedures as needed.
  • Arranges for specialty equipment/services as needed.
  • Interacts with outside vendors/contracted services as needed.
  • Performs other job duties as required.
