The Surgical Navigator is responsible for managing all clerical and administrative aspects of the surgical process, serving as the central point of contact for patients, providers, and the operating room team. This position ensures that surgeries are scheduled accurately and efficiently, pre-authorization and insurance requirements are completed, and patients receive clear communication about their procedures and financial responsibilities. Essential Job Functions 1. Scheduling & Logistics Coordinate surgical procedures with patients, surgeons, and operating room staff. Arrange pre-operative appointments, testing, and clearances as required. Assist patients with scheduling post-operative follow-up visits. 2. Communication Act as liaison between patients, providers, clinic staff, and operating room staff. Clearly and compassionately communicate surgical plans and instructions to patients. Ensure timely updates are provided to all parties if scheduling changes occur. 3. Documentation & Compliance Maintain accurate and complete documentation of surgical cases, consents, and schedules. Ensure compliance with hospital policies and regulatory standards. Always keep records audit-ready. 4. Insurance & Financial Coordination Verify insurance eligibility and benefits for surgical procedures. Obtain prior authorizations for all scheduled surgeries. Provide patients with Good Faith Estimates and collaborate with financial counselors to explain costs and payment expectations. 5. Efficiency & Support Identify opportunities to improve scheduling workflows and patient experience. Provide support to physicians and operating room staff for real-time problem-solving regarding scheduling or documentation issues. Qualifications High school diploma or equivalent required; Associate degree preferred. Minimum 2 years of experience in a medical office, surgical scheduling, or insurance verification role. Strong knowledge of medical terminology, insurance requirements, and prior-authorization processes. Excellent organizational, communication, and multitasking skills. Proficiency with EMR and scheduling software. Ability to interact with patients in a professional, empathetic, and clear manner. Other Duties as Assigned Physical Requirements This position requires near-constant sitting and/or standing. The ability to hear/listen, see and the use of fine motor skills on a near constant basis. This position may require occasional medium-lifting, to include up to 25 lbs. with or without assistance. This position includes limited exposure to noise and/or odors.
