About The Position

Under minimal supervision, the Surgery Scheduler is responsible for coordinating and managing all aspects of surgical scheduling based on physician orders. This role works closely with physicians, surgical facilities, anesthesia teams, and patients to ensure procedures are scheduled accurately and efficiently. Strong communication, attention to detail, and the ability to manage multiple priorities are essential to success in this role. Requirements

  • Previous experience in surgery scheduling, medical scheduling, or a related healthcare administrative role preferred
  • Strong knowledge of medical terminology, CPT codes, ICD‑10 codes, and insurance authorization processes
  • Experience working with EMR and practice management systems
  • Excellent communication, organization, and multitasking skills
  • Ability to work independently while collaborating effectively with physicians and clinical teams
  • High attention to detail and commitment to patient‑centered care
  • High School diploma or equivalent required.
  • Position requires at least three years of Surgical practice/office work experience including work in insurance authorization, insurance verification and/or scheduling with ability to explain patient responsibility in accordance with their benefits plan (as applicable).
  • Knowledge of medical and surgical terminology required.
  • Must have excellent communication skills, written and verbal, with ability to multitask.
  • Proficiency with computer systems and Microsoft Office (Outlook, Word, and Excel) required.

Responsibilities

  • Coordinate and schedule surgical cases according to physician orders, reserving operating room date and time
  • Maintain close communication with physicians, anesthesia teams, surgical assistants, vendors, and outside surgical representatives as needed
  • Provide patients with detailed surgical information, including procedure details, preparation instructions, pre‑operative testing requirements, and date/time/location of surgery
  • Review patient medications and health history and coordinate surgical clearance with other providers when required
  • Coordinate all pre‑operative tasks based on case type, including:
  • Scheduling pre‑operative appointments and diagnostic testing (CT, MRI, ultrasound, X‑ray, etc.)
  • Ordering or confirming availability of special products or surgical equipment
  • Notifying vendors, first assists, and other representatives tied to the surgical case
  • Obtain and manage insurance authorizations and pre‑certifications using appropriate CPT and ICD‑10 codes
  • Review and adhere to payer medical policies to prevent delays, denials, or reimbursement issues
  • Serve as a patient advocate and point of contact between the patient, providers, insurance payors, and surgical facilities
  • Prepare, complete, and submit all required documentation to surgical facilities, including but not limited to:
  • Surgical orders and physician signatures
  • History and Physical documentation
  • Consent forms
  • Authorization or pending authorization details
  • Ensure all surgery‑related documentation is scanned and accurately maintained in the EMR
  • Verify post‑operative follow‑ups are scheduled as ordered, including stent removals or exchanges
  • Track pathology and operative reports to ensure they are received and filed appropriately
  • Manage operating room block time utilization and release unused blocks per facility policy
  • Coordinate financial and patient care commitments, including prepayments and referrals to appropriate financial contacts
  • Assist with training, orienting, or assigning work to lower‑level staff as needed
  • Support and adhere to the US Oncology Compliance Program, Code of Ethics, and Business Standards at all times
