About The Position

At Island Health , every team member plays an important role in providing exceptional patient care — including our Clinic Surgery Scheduler . We’re looking for a reliable, detail-oriented individual to join our Island Surgeons team and help maintain a clean, safe, and welcoming environment for patients, staff, and visitors. In the Admitting Specialist role, you will play a key for assisting the General Surgeons in coordinating with multiple departments, physicians and facilities to provide timely access to surgical/specialty care. The Clinic Surgery Scheduler coordinates the scheduling of in-and-outpatient surgical procedures at Island Hospital; diagnostic testing, outside referral management, including the care provided in the clinic setting. Employee will communicate and provide patients and appropriate departments with detailed and accurate verbal/written instructions as directed by the Surgeon.

Requirements

  • High School Diploma or GED
  • This position requires prior work experience in a medical office and/or has specialty clinic scheduling experience to include: knowledge of medical terminology and an understanding of scheduling parameters.
  • Position will require the ability to work patients and family through a difficult process in a compassionate, efficient and timely manner.
  • Requirements include; the ability to prioritize efficiently, careful attention to detail, problem solving and time management skills.
  • Excellent interpersonal and communication skills while working as a team member.
  • Ability to maintain confidentiality and protect sensitive data at all times.
  • Ability to work collaboratively and support efforts of team members.

Nice To Haves

  • Experience in a healthcare setting preferred.

Responsibilities

  • Coordinating and scheduling patient surgeries, diagnostic testing and outside referrals; including the detailed completion of orders and requests to include pre-certifications for diagnostic testing as required.
  • Counseling patients on hospital registration, diagnostic and surgical prep instructions, pre and post-operative instructions and answering general pre and post-operative questions.
  • Manage surgeon’s work schedule to coordinate with surgeon’s surgery schedule, operating room and clinic schedule.
  • Responsible for entering all scheduled surgeries into the clinic scheduling systems including changes and additions to the surgery schedule.
  • Review clinical chart for accuracy; request and obtain any additional outside diagnostic studies prior to patient appointment.
  • Request office insurance authorizations if required.
  • Review physician’s desk for appropriate staff notes, correspondence, records and clinic notes.
  • Process patient recall in a timely manner to include: coordinating with receptionist for recall notification, scheduling up clinic appointments, diagnostic testing and or procedures.
  • Provide back up support to the Front Office for clinical questions and scheduling issues.
  • Employee will function at all times within guidelines established in the Island Hospital HIPAA Compliance Policies, Confidentiality Agreements and Island Hospital Promise.
