About The Position

The Surgery Scheduler is responsible for providing outstanding customer service to both the assigned physician and patients. The individual in this position will perform a broad spectrum of duties related to the effective and efficient scheduling of patients for outpatient visits and procedures. This includes maintaining precise interactions with nurses, physicians, and any other departments or functions involved in the delivery of patient care services. This role will communicate with physicians and other healthcare team members to ensure the availability of facilities and staff. The individual in this position will function as the liaison between the patient and the providers for all non-clinical issues including scheduling procedures in both the minor procedure room and operating rooms, communicating pre-procedure instructions and appointment confirmations, insurance verifications and/or pre-authorizations as necessary.

Requirements

  • High school diploma or GED.
  • 2 years of patient registration and insurance processing experience.
  • Current Basic Life Support (BLS) for Healthcare Providers issued by American Heart Association or American Red Cross healthcare provider level CPR certification or certification
  • Must be able to work in-person
  • Must be able to travel to alternate locations, as assigned.
  • Strong organizational and personal skills; must have strong work ethic.
  • Strong communication skills, both written and verbal.
  • Ability to maintain a positive attitude with clients, employees, and management.
  • Ability to work quickly – individually and as part of a team.
  • Ability to read, analyze, and interpret policies, documents, and regulations.
  • Excellent organizational skills.
  • Ability to understand, apply, and benefit from technology.
  • Understanding of HIPAA practices and patient confidentiality

Nice To Haves

  • College graduate.
  • 3+ years of patient/client-facing experience.
  • Medical office experience.
  • EPIC experience.
  • MS Office experience.
  • Bilingual, Spanish-speaking.

Responsibilities

  • Schedule patient visits, including completing data entry in Epic and preparing all necessary documentation within medical record for the physician to review.
  • Determine if there will be any insurance pre-authorization needed, and mail information packets to patients as necessary.
  • Obtain referrals and authorizations as necessary for all clinic patient encounters, procedures and surgeries.
  • Preauthorize procedures and surgeries.
  • Triage new patient referrals (fax and phone); email out new patient information.
