The Surgery Scheduler serves as a vital link between patients, providers, hospitals, surgery centers, and anesthesia services. In this role, you will coordinate and schedule surgical procedures and pre-operative services for our OB/GYN providers, ensuring every patient receives clear communication, accurate documentation, and a smooth care experience from scheduling through surgery.

Requirements

  • High school diploma or equivalent required.
  • Demonstrated proficiency with computer systems, data entry, and telephone communication.

Nice To Haves

  • Knowledge of medical terminology, surgical scheduling, and insurance authorization workflows preferred.
  • Previous experience in medical or surgical scheduling, or a healthcare office setting preferred.
  • OB/GYN experience preferred.
  • Knowledge of insurance verification, prior authorization, and referral processes preferred.

Responsibilities

  • Schedule surgical procedures, hospital cases, and related appointments based on provider availability, facility requirements, and patient needs.
  • Coordinate with hospitals, surgery centers, anesthesia departments, and external partners to secure OR time, procedure dates, and required authorizations.
  • Prepare and submit accurate scheduling forms, surgical orders, and supporting clinical documentation.
  • Ensure pre-operative appointments, labs, imaging, and clearances are completed prior to surgery.
  • Confirm surgery details with patients, including date, time, arrival instructions, and pre-op requirements.
  • Maintain and update surgery schedules in the electronic health record (EHR) and applicable systems.
  • Communicate professionally and compassionately with patients regarding scheduling, preparation, and care coordination.
  • Respond promptly to patient calls, messages, and scheduling requests; escalate clinical questions to appropriate staff.
  • Provide patients with required forms, education materials, and post-operative follow-up instructions as directed.
  • Accurately document scheduling activities, communications, and updates in the EHR.
  • Verify demographic, insurance, and referral information to support scheduling and authorization processes.
  • Assist with obtaining prior authorizations, referrals, and benefit documentation for scheduled procedures.
  • Track cancellations, reschedules, and surgical changes; communicate updates to patients, providers, and facilities.
  • Maintain strict confidentiality in accordance with HIPAA and organizational policies.
  • Support value-based care initiatives, quality improvement efforts, and patient access goals.
  • Collaborate with providers, clinical staff, and outside facilities to ensure continuity and quality of care.
  • Complete required trainings, attend staff meetings, and adhere to all organizational policies and safety standards.
