Position Summary The Surgery Scheduler Lead is responsible for coordinating and scheduling surgical procedures at the Care Center in accordance with the needs of the patient and surgeon and in accordance with the center’s policies and procedures. Oversee surgical scheduling activities. This is a hybrid role, with the ability to work from home 2 out of 5 days per week.

Requirements

  • High School diploma/GED or equivalent.
  • Experience as a scheduling coordinator with lead experience preferred.
  • Comprehensive knowledge of medical office and surgical scheduling requirements.
  • Proficiency in computer systems and technology.
  • Ability to learn and adapt quickly to new systems and technology.
  • Visual and auditory acuity adequate to allow for use of computer and other business office equipment.
  • Job activities constantly require verbal and written communication and ability to communicate by telephone, email, virtual platforms, etc.
  • Mental demands require routine judgment and response constantly, and rapid and intermediate judgment occasionally.
  • Physical activities require sitting for protracted periods of time.
  • Job activities involve Category III exposure to blood borne pathogens and minimal exposure to chemical hazards.

Responsibilities

  • Oversee daily work and staffing for Surgery Schedulers.
  • Coordinate coverage for Surgery Schedulers’ time off or sick call outs and communicate call outs with relevant team members.
  • Ensure the team members are informed of new or updated policies and procedures.
  • Maintain accurate work logs and ensure timely, high-quality completion of tasks.
  • Lead weekly team huddles and communicate changes and updates.
  • Assist with training new scheduling team members as needed.
  • Assist with recruiting and interviewing applicants.
  • Demonstrate strong knowledge of surgical scheduling priorities, including surgeon block time, staffing availability, equipment needs, and patient considerations.
  • Review the upcoming surgery schedule at least three days in advance to reconcile NextGen and SIS schedules.
  • Coordinate special scheduling requests with OR leaders.
  • Run daily reports to ensure prior authorizations are complete and accurate.
  • Assist with surgical block templating in SIS and NextGen.
  • Follow notification procedures for cancellations, no-shows, and reschedules; track trends.
  • Communicate provider updates (e.g., delayed arrivals) to the OR Manager/Charge Nurse promptly.
  • Maintain daily statistical data and review reports and metrics assigned by leadership.
  • Adhere to established policies, procedures, and standards, supporting the goals and objectives of the Center.
