About The Position

PLEASE NOTE - This position may require temporarily relocation to other TONHC Facilities: Sells Hospital, Santa Rosa Health Center, San Simon Health Center, and San Xavier Health Center. Position Summary: Performs a wide range of warehouse work, including receiving, storing, selecting, and delivering stock. Maintains an adequate inventory of supplies, including medical supplies and pharmacy items. S cope of Work: The work is typically reviewed upon completion, with occasional spot checks while in process, to ensure accuracy, timeliness, and conformance to established standards; instructions or procedures cover major work tasks, and unusual situations referred to a supervisor. This position serves the assigned facility. Essential Duties and Responsibilities: (Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below): Ensures receipt and processing of receiving reports for services, supplies, materials, and equipment for payment and related functions. Compares receiving documents against the purchase for the correctness of description and quantity before entering the receiving report data into the electronic payment system to process payments. Maintains proper records for all accounts and hospital forms received and issued with assistance from the Service Unit Forms Liaison Officer and Service Unit departments. Plans, develops, implements, and supports the Service Unit records management program to promote economy and efficiency in the organization, maintenance, use, and ultimate disposition of the IHS records with Records Management Liaison. Recommends and supports department supervisors with the establishment, maintenance, and adjustment of inventory levels related to store stock issue book, direct issue supplies, and materials. Manages and assists in assignment and dispatch basis of General Services Administration (GSA) Vehicles; conducts periodic inspection of all government vehicles and directs the maintenance of vehicle records assigned Service Unit-wide. Enters all data information into the Motor Vehicle Information System. Performs inventory data entry accurately and promptly for payment requests and inventory processes for property records. Conducts inventory of the Nation's assets. Maintains and supports the current Nation's Inventory System. Ensures supporting documentation is screened for issues and coordinates with programs to assure accuracy. Assists in establishing and maintaining an effective and efficient inventory management system. Compares inventories with office production, purchase, or stock records to obtain accurate inventory. Complies information on receipt or disbursement of goods and computes inventory balance, price, and costs. Write functional specifications for specialty items purchased through the Nation's purchasing policies and procedures. Demonstrates continuous effort to improve operations, decrease turnaround times, and cooperate to deliver quality customer service. Maintains all appropriate documentation related to the procurement of goods and services. Processes purchase orders through the receiving function to capture assets for tagging. Monitors the mailroom operation to ensure adequate processing of incoming/outgoing mail. Assists in completing purchase orders for all off-the-shelf purchases with customers; receives and delivers goods to departments. Answers questions from various departments and programs regarding property and supply policies and procedures. Ensures compliance with the Nation's policies and procedures. Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing networks, participating in professional societies, conferring with representatives of various agencies and related organizations. Operates a forklift or floor jack, as needed. Performs other job-related duties as assigned and contributes to a team effort.

Requirements

  • Knowledge of the Tohono O'odham culture, customs, and traditions.

  • Ability to utilize automated systems in monitoring supplies.
  • Ability to utilize communication skills to process or prepare orders.

  • Ability to work extended hours and various work schedules.
  • High School Diploma or General Education Diploma, and one year of specialized work experience in a warehouse, inventory, or administrative field, or an equivalent combination of training, education, and work experience that demonstrates the ability to perform the duties of this position.
  • Must obtain Forklift certification within six months of hire.
  • Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required to determine suitability for employment, including a 39-month driving record.
  • May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years).
  • If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.
  • Based on the department's needs, incumbents may be required to demonstrate fluency in both the Tohono O'odham language and English as a condition of employment.
